Job Overview

We are currently seeking an experienced Medical Office Manager to join our team! The Practice Manager will be in charge of the successful management and operation of the medical practice by being responsible for achieving the objectives of the practice, establishing administrative policies, coordinating activities within the practice with staff, and assuring that operations of the practice are met with a high standard.

Key Responsibilities

Our ideal candidate will possess the following:

  • At least 2 years experience running a Medical Practice
  • Managing 6 or more employees
  • Counsel and discipline employees when necessary; monitor productivity levels of personnel
  • Insurance billing, claims, medical terminology, check-in & check-out, insurance verification, ordering supplies, vaccines, injections, drawing lab, triage, collections
  • Ability to build rapport with guests
  • Strong organizational skills
  • Excellent written and verbal communication skills

  • Maintains open and positive communication with all personnel, team members and other healthcare professionals

Additional Responsibilities
  • Orders and restocks supplies as necessary
  • Monitors and approves attendance and time off for all clinic personnel
  • Conducts banking activities
  • Refs all human resource issues and benefits including workers comp claims to the Human Resources Manager
  • Works with Human Resources to oversee credentialing and privileges for licensed providers
  • Performs other duties as assigned, within the capacity of individual knowledge and expertise
  • Participates in economical utilization of supplies
  • Exercises sound judgment in decision making
  • Responds in a positive manner to constructive criticism
  • Seeks opportunity for continued learning
  • Demonstrates knowledge of fire, safety and disaster policy
  • Knows locations of alarms and extinguishers
  • Provides ongoing education to staff
  • Works with staff to identify and determine if there are any problems or opportunities for improvement
  • Functions within the dress code (Scrubs or Business Casual)
Office Manager Responsibilities
  • Effectively communicates with the staff and surgeon regarding all practice business
  • Effectively guides, leads, supports and supervises all staff
  • Assesses the staffing needs on a daily basis and ensures adequate staff to provide care commensurate with the needs of the practice
  • Schedule daily staffing and time-off requests
  • Is accountable and delivers on commitments
  • Oriented towards continuous learning
  • Effectively assists in overseeing daily activities at the practice
  • Demonstrates knowledge of current computer systems (Practice Management software and Electronic Medical Records software)
  • Willingly accepts assignments to special projects
  • Is attentive to detail and record-keeping on required paperwork
  • Strives to improve the working environment by generating alternatives and making recommendations on improving work efficiency
  • Inspires trust and confidence from patients, callers, visitors and employees by remaining well informed and prepared at all times

Educational Requirements
  • Nursing – Associate of Science
  • ACLS and BLS Certifications
  • Associate’s or Bachelor’s degree in Business Administration, or Health Care Administration (not mandatory)
Other Qualifications
  • Previous experience in nursing or other medical fields (at least 3 months required or 2-4 years in a hospital setting strongly preferred)
  • Familiarity with medical software and equipment
  • Must have prior experience in a supervisory role in a healthcare setting
  • Strong knowledge of insurance mandatory
  • Supervise all medical and clerical staff
  • Work collaboratively with business staff, clinical staff, non-physician practitioners and the physician
