Job summary

Pratt Industries, Inc. seeks an Administrator to manage plant accounting duties, recording inbound/outbound loads, creating POs, coding invoices, and ensuring timely payments to vendors.

You will support inventory tracking, month-end reporting, and reconciliation while assisting with scale operations and required paperwork. Strong Excel and communication skills are essential.

Qualifications

  • Pursuing an Advanced Degree with a minimum of 2 years completed or has completed an associate's degree or higher.
  • Strong working knowledge of the use and application of Microsoft Office suite software products.
  • Demonstrated superior oral and written communication skills and the ability to listen carefully to others obtain clarification and speak clearly and persuasively in positive or negative situations.
  • Demonstrated accuracy, thoroughness and attention to detail.
  • Must be able to travel when deemed necessary.
  • Must be able to work with little to no supervision.

Responsibilities

  • Create POs for plant expenses and Goods Receipt them to ensure proper recording.
  • Code invoices with correct GL account and cost center.
  • Process invoices to ensure timely payments to vendors (Open Text).
  • Research and resolve discrepancies in invoices or related issues.
  • Ensure bills of lading and paperwork accompany shipments.
  • Track daily receipts and schedule loads for outbound shipments.
  • Monitor inventory and report month-end figures and waste calculations.
  • Maintain logs for inbound/outbound loads and reconcile discrepancies.
  • Run reports on materials, shipments, and plant expenses.

Job description

Position Summary:

Perform diversified functions relative to Administrator Role for the plant. Ensure that all inbound and outbound loads are recorded accurately, schedule outbound loads, resolves issues, timely processing of invoices to vendors and works closely with Plant Manager.

Essential Functions/Position Responsibilities:

  • Create POs, as it relates to all plant expenses and Goods Receipt them to ensure expense is recorded properly.
  • Code invoices with correct g/l account and cost center.
  • Process all invoices through Open Text to ensure timely payments to vendors.
  • Research and solve any discrepancies in system regarding invoices or any other issues.
  • Ensure bills of lading and other required paperwork are correctly filled out and accompany truck or products
  • Assist the scale administrator with any questions on inbound or outbound loads
  • Track daily receipts.
  • Schedule loads to ship out of plant
  • Track inventory to ensure what is scheduled can be fulfilled, also will be responsible for reporting month end inventory and completing the waste calculation spreadsheet
  • Resolve issues as they arise on loads that are shipped and rejected
  • Resolve issues as they arise on loads that are received at plant
  • Manage recording all inbound and outbound loads ensuring they have been recorded in the appropriate logs and entered in the system.
  • Manage the reconciliation process for loads being received in the plant and loads being shipped out.
  • Run various reports as it relates to materials coming into the plant, being shipped out of plant and expenses that are related to plant operations.
  • Ensure that Plant Administrator Scale Clerk is cross trained.
  • Must be able to work in manufacturing/plant environment
  • Follow all company policies per Employee Handbook & Code of Conduct.
  • Follow all company safety guidelines.
  • Performs other job-related duties as assigned.
  • Prepares reports
  • Knowledge of accounting standards, conventions and principles is a must
  • Perform such other accounting, financial, or administrative tasks as may be required from time to time
  • Depending on employees’ desire for future advancement, understand and work with Operations or Accounting staff to begin to have a realization of potential future opportunities.
  • This position will likely have an upward mobile advancement as times and positions allow

Hiring Requirements/Preferences:

  • Pursuing an Advanced Degree with a minimum of 2 years completed or has completed an associate's degree or higher. Certificate programs may be considered.

  • This Position may be eligible for the Eagle Program. This program could require the flexibility for relocation opportunities within or out of the Recycling Division if/when positions are available.

  • Have the willingness to work in a team environment and assist co–workers or supervisors with other duties as required.
  • Wear personal protective equipment (PPE) in designated operations and production areas as stated by PRATT Safety and OSHA.
  • Be at least age 18 years of age due to nature of working environment.
  • You will be expected to be flexible to the needs of our business, as we continually strive to meet and exceed the needs of our customers.
