Job Highlights
The NC Office Manager provides a wide range of project support to the North Carolina (NC) Office, including programs like Strategic Giving, Resourceful Communities, Working Forest Fund, and Conservation Acquisitions. Located in The Conservation Fund’s office in Chapel Hill, NC, this role handles all administrative functions to ensure smooth and efficient office operations.
Responsibilities
Administrative
- Serve as the primary contact for visitors, deliveries, and solicitations.
- Purchase supplies, equipment, and furniture as needed.
- Maintain office machines and arrange for service.
- Coordinate with the landlord regarding building maintenance.
- Distribute office keys to new employees, interns, volunteers, and consultants as appropriate.
- Manage mail and shipments, including outgoing and express deliveries.
- Support office staff with filing, scheduling, and event coordination.
- Coordinate office setup, moves, and furniture arrangements.
- Perform other office management duties as needed.
Information Technology
- Coordinate with IT to maintain servers, backups, and troubleshoot issues.
- Assist with Office 365 and other software support.
Financial Management
- Manage bills and prepare check requests.
- Allocate expenses among NC programs.
- Coordinate with finance staff on financial matters.
- Assist in preparing the annual budget and tracking expenditures.
Qualifications
- Minimum 1-2 years’ office experience.
- Excellent organizational and multitasking skills.
- Basic troubleshooting skills for hardware, software, and network issues.
- Strong financial reasoning and budgeting skills.
- Professional communication skills for diverse audiences.
- Proficiency in Microsoft Office 365, especially Excel.
- Positive attitude, flexibility, and team orientation.
- Self-motivated with the ability to work independently.
- Willingness to work occasional evenings or weekends.
- Commitment to the organization’s mission.
Preferred Qualifications
- Office management and administrative experience.
- Familiarity with nonprofit organizations.
- Certified Notary (a plus).
Physical Demands & Work Environment
- Extended sitting or standing at a desk.
- Walking and occasional lifting of up to 50 lbs.
- Office setting with time-sensitive deadlines.
- Estimated 10% travel; reliable transportation needed.
Compensation & Benefits
This is a part-time role with a salary of $23-$26/hour. Benefits are not included.
