We are currently seeking an experienced Office Manager to support the Boston Office. The successful candidate will support the Office Director while managing administrative responsibilities, facility operations, and will uphold MOREgroup culture by greeting guest in a professional, friendly, and hospitable manner.

RESPONSIBILITIES:

  • Provide high-quality administrative support and resources across all brands, to all employees and all roles, whether remote or in-person with a focus on professionalism, effective communication and quality of product
  • Answer, screen, and act upon phone calls as appropriate
  • Serves as main point of contact to Building Management and facility maintenance vendors, set and maintain expectations and handle any issues or requests.
  • Act as a champion of culture for the office, embracing MOREgroup’ s mission, vision and values to connect our family of brands through cultural initiatives and activities that help cultivate a positive work environment.
  • Collaborate with MOREgroup leadership on Boston office operations; openly communicate with Administrative Services Manager regarding updates and issues within the office. Proactively identify and execute changes that support employees doing their best work within the office environment.
  • Serve as point of contact for new employees, supporting the Human Resources and IT teams prior to Day 1 to schedule and facilitate meetings, create an agenda, coordinate paperwork, and help to ensure a successful first day onboarding experience.
  • Communicate and execute the Boston office Emergency Preparedness plan in case of emergency. Communicating closures to all staff based upon official notification from Director of Administrative Operations.
  • Responsible for general employee communications related to facility procedures, cultural initiatives and office updates/information utilizing but not limited to the following tools: email, Intranet formats, and office and firm-wide company meetings
  • Responsible for shipping, receiving and distribution of mail and packages
  • Maintain a clean and visually appealing office environment daily
  • Maintain coffee machines and service areas
  • Prepare, setup/breakdown, and clean before and after office lunches, meetings, and event
  • Help to develop the facility operations budget on a yearly basis for the Boston office alongside the MOREgroup finance team
  • Assist with management of the office materials library, coordinate with vendors and Interiors team to keep library current and organized, disposing of unused and unwanted materials on a consistent basis.

REQUIREMENTS:

  • Minimum of two years of college or business school
  • 5+ years of administrative assistant experience in a professional services environment
  • Advanced MSOffice skills required and knowledge of general administrative protocols
  • Bluebeam experience preferred
  • Ability to work independently as well as collaboratively in a team environment
  • Exhibit a can-do attitude and remain positive under pressure
