Job summary

WSP is seeking an Office Engineer/Assistant Project Manager to join our Manhattan team at 2 Broadway. This full-time role reports to the client’s office and supports the Project Manager with project controls, documentation, and reporting.

The candidate will coordinate with field staff, manage documents in EDMS, and help prepare meetings and invoices. 5 days onsite, strong MS Office skills, and a background in construction administration are key.

Qualifications

  • Bachelor's degree or equivalent work experience (4 years in a business environment)
  • Experience as administrative assistant or document control clerk with a Consultant Construction Manager or construction organization
  • Ability to work onsite 5 days per week
  • Experience on Design, Pre-Construction, Construction and Closeout projects preferred
  • Advanced computer and word processing skills using MS Office applications
  • Excellent interpersonal, written and verbal communication skills
  • Ability to coordinate several high-priority deadlines and adapt to changing priorities
  • Strong organizational and prioritizing skills with multitasking ability

Responsibilities

  • Support the Project Manager to align with the project vision and initiatives.
  • Assist in preparing, formatting, and distributing memos, letters, and reports.
  • Maintain filing systems and ensure proper documentation of contractor records.
  • Maintain documentation in SharePoint or similar EDMS.
  • Support timecard collection and coordinate with field personnel for invoice packages.
  • Monitor inventory and assist with procurement as needed.
  • Prepare project meeting agendas, attendance sheets, and daily field/office reports.
  • Develop and maintain spreadsheets and databases for correspondence logs and progress reports.
  • Generate presentations as directed by the Project Manager.
  • Build and maintain strong client relationships and provide backup data administration support

This role will report full-time to our client’s office at 2 Broadway in Manhattan.Be involved in projects with ourProject Controls & Technology Teamand be a part of a growing organization that meets our client’s objectives and solves their challenges.

Who You Are

Job Duties:

  • Work under the Project Manager to support the Project vision and initiatives.
  • Implement efficient work-flow process, monitor daily activity, implement modifications.
  • Assist in preparing, formatting, and distributing memos, letters, and reports.
  • Maintain filing systems and ensure proper documentation of contractor records.
  • Maintain documentation in SharePoint or similar Electronic Document Management System (EDMS).
  • Support timecard collection, coordinate with field personnel, and prepare invoice packages
  • Monitor inventory of supplies and assist with procurement as needed.
  • Assist with internal documentation requests and scanning of program files.
  • Prepare project-related meeting agendas, attendance sheets, meeting summaries, and daily reports for field and office staff.
  • Maintain shared folders, logs, and databases in coordination with the Data Administrator.
  • Track distribution of safety materials, toolbox forms, and compliance notices.
  • Support onboarding of new hires (forms, checklist completion, credential requests)
  • Provide backup support to Data Administrator when needed.
  • Support daily report consolidation, contractor access forms, and safety toolbox submissions.
  • Communicate with project team members.
  • Develop and maintain spreadsheets and databases for correspondence logs and progress reports.
  • Generate presentations, as directed by the Project Manager.
  • Develop and maintain strong client relationships.
  • Perform other duties as assigned.
Your Impact

Minimum Requirements:

  • Bachelor's degree or equivalent work experience (4 years in a business environment)
  • Minimum of three (3) years of experience as an administrative assistant or document control clerk with a Consultant Construction Manager or a construction organization
  • Must have the ability to work onsite 5 days per week
  • Experience working on Design, Pre-Construction, Construction and Closeout or similar projects preferred
  • Advanced computer and word processing skills using MS Office applications
  • Excellent interpersonal, written and verbal communication skills
  • Ability to coordinate several high-priority deadlines simultaneously and demonstrate flexibility when priorities change
  • Excellent organizational & prioritizing skills with the ability to multitask

Compensation:

Expected Salary (all locations): $99,840 - 116,480

WSP USA is providing the compensation range that the company in good faith believes it might pay and offer for this position, based on the successful applicant’s education, experience, knowledge, skills, abilities in addition to internal equity and specific geographic location. WSP USA reserves the right to ultimately pay more or less than the posted range and offer additional benefits and other compensation, depending on circumstances not related to an applicant’s sex or other status protected by local, state, and/or federal law.
