Job Summary:

This position is responsible for obtaining and verifying patient insurance and pre-authorization information, performing scheduling functions, and collecting payments such as self-pay, co-pay, and deductibles. The role involves clerical, reception, and support tasks to ensure efficient operations across the Medical Imaging of Fredericksburg (MIF) locations, including answering phones, greeting patients, entering outpatient imaging orders, maintaining records, and monitoring workflow.

Essential Functions & Responsibilities:
  • Greet all customers courteously and professionally, addressing their needs efficiently and confidentially.
  • Answer telephones promptly, screen and transfer calls or take messages.
  • Assist with patient financial matters.
  • Schedule tests as ordered by physicians using appropriate scheduling software.
  • Maintain compliance documentation, collect insurance cards and IDs.
  • Obtain insurance authorizations via websites as applicable.
  • Monitor scheduling work-lists to ensure timely scheduling and insurance verification.
  • Provide pre-procedure instructions to patients and/or physicians’ offices.
  • Communicate with insurance companies regarding benefits, co-pays, pre-authorizations, and billing adjustments.
  • Maintain an organized work area, monitor workflow, and keep patients and staff informed of delays.
  • Monitor reports and ensure accurate entry of CPT and ICD-10 codes.
  • Reconcile daily charges, ensuring correct billing information.
  • Perform closing procedures, including tallying charges, reconciling transactions, and submitting reports.
  • Manage CD and film requests, ensuring HIPAA compliance.
  • Maintain supplies and organized patient records.
  • Distribute final reports to physicians as appropriate.
  • Serve as liaison with patients, insurance, and physicians to ensure proper documentation and approvals.
  • Enter pre-authorization data into Radiology Management Systems accurately.
  • Review pre-authorization denial reports for accuracy.
  • Assist in other departmental areas as needed.
  • Perform other duties as assigned.
Qualifications:
  • High school diploma or equivalent.
  • Basic computer skills and strong communication skills.
  • Two years of related experience preferred, especially in call centers, patient registration, or billing.
  • Experience with insurance terminology, CPT, and ICD-10 codes is a plus.
