Job Summary and Qualifications

The Provider Scheduler ensures shifts are filled and all assigned locations are adequately staffed according to the staffing needs of the hospitals and patient volumes. The Scheduler creates master monthly schedules following the approved staffing budget and revises as needed to ensure all schedules are complete and posted at least three months in advance. The Provider Scheduler must work closely with managers and staff to ensure all vacant shifts are filled and clinics are adequately staffed according to budgets and patient volume.

Job Responsibilities

• Build monthly schedules based on the allowed staffing hours, requiring knowledge and understanding of how the staffing budget is created and used.
• Revise and update schedules as required according to volume trends to ensure each clinic maintains desired efficiencies.
• Knowledge of staffing policies and procedures as well as the number of hours required for PRN, part-time, locums, and full-time positions.
• Run reports to ensure each employee is scheduled and works the hours according to their classification.
• Calculate budgeted hours and determine in advance how many FT employees are needed for effective scheduling.
• Contact part-time and PRN staff for their availability at least a month in advance and schedule them according to staffing needs.
• Work with clinic managers to ensure new staff are scheduled once they have been released from orientation.
• Maintain and work on open shift reports.
• Handle administrative duties like answering emails and preparing reports as assigned.
• Ensure vacant shifts are filled by enlisting help from the operations management team, including open shifts due to staff absenteeism.
• Negotiate incentives following a strict approval process working with the operations team.
• Follow up with appropriate individuals regarding concerns with open shifts or staffing availability.
• Assist staff with shift swaps, requiring creative thinking and communication.
• Continuously communicate with managers regarding issues and concerns.
• Help design and maintain a true PRN pool.

Requirements

• High School Diploma.
• Healthcare experience in an office or clinical setting.
• Provider Scheduling experience is preferred.
• Excellent communication skills.
• Proficiency in Microsoft Word and Excel.
