Job summary

Zone 5 Technologies is seeking an organized Office Coordinator to support daily workplace operations in our California office. You will coordinate services, supplies, meeting space, and vendor relationships while ensuring excellent employee and visitor experiences.

Responsibilities include coordinating moves and seating, managing mail and packages, supporting events, and maintaining seating charts with managers. Requirements include 3+ years in office administration and strong MS Office skills.

Qualifications

• 3+ years of experience in office administration, reception, or workplace support.
• Strong organizational, communication, and customer service skills.
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams)

Responsibilities

• Coordinate daily office operations and workplace services.
• Maintain office, kitchen, and workspace supplies and coordinate ordering.
• Support workspace setups, moves, seating changes, and new-hire setups.
• Manage mail, packages, and office name plates
• Identify workplace issues and coordinate resolution with Facilities, Security, vendors, or other teams.
• Ensure a welcoming and engaging workplace environment that supports employee experience initiatives.
• Serve as a primary point of contact for routine workplace needs
• Support employee amenities, office programs, and workplace communications
• Coordinate meetings, room setups, catering, and refreshments
• Assist with company events and special projects
• Support visitor logistics
• Maintain accurate seating charts and workspace assignments in partnership with department managers.
• Manage day-to-day relationships with workplace service vendors, including coffee, water, office supplies, and breakroom services.
• Monitor vendor service quality and escalate issues as needed
• Assist with purchasing, invoicing, expensing, and vendor documentation
• Serve as the onsite resource for employee travel questions and booking assistance.
• Support new hire onboarding by conducting office tours and introducing workplace amenities and procedures.

$45,000—$106,000 USD
