About the Opportunity
A globally recognized consumer brand is seeking a polished, proactive, and highly organized Office Coordinator to support its Atlanta office. This is a long-term, part-time contract opportunity ideal for someone who enjoys being at the center of office operations and creating an exceptional experience for employees, visitors, and guests.
The Office Coordinator will serve as the face of the office and primary point of contact, while managing a variety of responsibilities across reception, workplace operations, facilities, vendor coordination, employee onboarding, meetings, events, and hospitality.
The ideal candidate is service-oriented, resourceful, and hands-on, with the ability to independently identify needs, solve problems, and keep a busy corporate office running smoothly.
Key Responsibilities
Reception & Office Experience
- Serve as the first point of contact for employees, visitors, clients, vendors, and deliveries
- Greet and direct guests in a warm, polished, and professional manner
- Answer and route incoming calls and general inquiries
- Receive, sort, and distribute mail, packages, courier deliveries, and food orders
- Maintain an organized, welcoming, and professional reception area
- Ensure common spaces consistently provide an elevated workplace experience
Office Operations & Facilities
- Oversee day-to-day office operations and proactively resolve issues
- Coordinate maintenance, repairs, and facilities-related service requests
- Serve as a liaison with property management regarding HVAC, parking, recycling, maintenance, and other building needs
- Troubleshoot printers, copiers, AV equipment, and basic technology issues
- Coordinate IT service calls when additional assistance is needed
- Manage employee key fobs, office access, alarm codes, and access lists
- Coordinate furniture repairs, replacements, and office moves
- Maintain workplace procedures and office documentation
- Maintain office supply inventory and tracking spreadsheets
- Order and replenish office supplies, pantry items, snacks, beverages coffee, and other workplace necessities
- Manage relationships with cleaning, coffee, maintenance, security, and other office vendors
- Process vendor invoices, payments, and facilities-related documentation
- Assist with business licenses and other administrative requirements
- Provide additional administrative support to senior leadership as needed
Employee, Meeting & Event Support
- Coordinate office onboarding for new hires, including building access, parking, lockers, and workplace guidelines
- Manage conference room scheduling and meeting-room readiness
- Assist with AV and technical setup for meetings and presentations
- Coordinate hospitality for internal meetings, executives, and visiting guests
- Partner with Executive Assistants and meeting hosts to ensure meetings run seamlessly
- Assist with office events, employee engagement activities, setup, and cleanup
Qualifications
- 2–3+ years of experience in office coordination, office management, administration, workplace operations, hospitality, or a similar role
- Previous experience supporting a fast-paced corporate office environment
- Strong organizational, administrative, and time-management skills
- Proficiency with Microsoft Office Suite
- Experience coordinating meetings, conference rooms, and office events
- Comfortable troubleshooting basic office technology and AV equipment
- Ability to manage multiple priorities while maintaining strong attention to detail
- Professional and confident when interacting with employees, executives, visitors, and vendors
- Comfortable working independently and taking initiative
