Job Summary

The Office & Community Coordinator position at Fort Mason Center for Arts & Culture (FMCAC) serves as the heartbeat of daily operations and the primary liaison to our campus community. This multifaceted role integrates administrative precision with strategic event execution to cultivate a welcoming and vibrant environment for staff, resident organizations, visitors, and clients alike.

Essential Duties & Responsibilities
Office Support
  • Serve as the full‑time receptionist for the office, Monday through Friday, during regular office hours (9am to 5pm).
  • Interact with all visitors, FMCAC resident organizations, clients, and staff in a professional, engaging, informative, and customer‑focused manner.
  • Develop and maintain knowledge about FMCAC history, programs, staff, and events in order to answer inquiries from the public.
  • Assist in day‑to‑day office management including inventory tracking, summarizing client payments for the accounting department, order processing, mail distribution, and package organization.
  • Ensure the office environment remains clean, organized, and professional.
  • Provide assistance to Meeting & Event Space Clients (locking/unlocking spaces and assisting with HDMI set up).
  • Troubleshoot operational issues and, when necessary, elevate concerns.
  • Perform routine administrative tasks such as maintaining calendars and filing important documents.
  • Act as liaison with remote technical services, Valeo, and provide light technical support and troubleshooting for office staff as needed.
  • Serve as Campus Safety Liaison and act as point person for Alert Media communications.
  • Process Resident Equipment Requests.
Community Support
  • Coordinate communication with resident organizations, including operational requests, disseminating safety information, and informing residents of upcoming projects.
  • Create, maintain, and distribute a monthly internal newsletter for residents and FMCAC staff.
  • Maintain accurate records and documents related to FMCAC operations, including the Resident Handbook and Board of Directors Handbook.
  • Assist in the planning, set‑up, and execution of community events such as all‑staff meetings, team‑building events, resident community events, board meetings, Art Walks, donor events, and monthly Fort Mason Night Markets, including logistics, leading creative activations, vendor coordination, and on‑site support both pre‑ and post‑event.
  • Provide on‑site assistance during events and meetings, including coordinating guest registration, managing timelines, liaising with vendors, and handling unforeseen issues.
  • Provide administrative support related to community initiatives and events, including gathering feedback, scheduling team meetings, compiling event recap notes, and ensuring all materials are returned and accounted for.
Advancement Support
  • Orchestrate physical mailings, e.g., mail merging to print letters, envelopes, and labels.
  • Assist with data entry in donor CRM Raisers Edge NXT.
  • Draft and help develop content for quarterly donor newsletter (Focal Point).
  • Coordinate catering and other vendors for donor events.
Qualifications
Experience
  • Minimum of 2 years of experience in an administrative, advancement/development, and/or event coordination role.
  • Experience with logistics, scheduling, and event planning is a plus.
  • Previous non‑profit experience is a plus.
Skills
  • Strong organizational and time‑management skills, with the ability to prioritize and handle multiple tasks and work cross‑departmentally.
  • Excellent verbal and written communication and interpersonal skills.
  • Ability to work well under pressure, especially during events.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, and other Microsoft skills) and event management software (e.g., Eventbrite, Salesforce) is a plus.
  • Comfortable troubleshooting on small tech issues such as issues with printers, HDMI set up, projectors, and conference calls.
  • Comfortable working with both internal teams and external vendors.

Job Type

This is a full‑time, mostly in‑office position with benefits. Hours are Monday to Friday from 9:00am to 5:00pm, with occasional weekend and evening work required.

Compensation

$70,000 annual salary with attractive benefits package.
