GENERAL DESCRIPTION:
This position operates a centralized telephone system for the Wyoming State Hospital and maintains a radio dispatch center for the security department. Informs clinical or administrative staff of any concerns or access to areas of the hospital. Responsible for monitoring fire alarms, high water alarms, amber alarms, panic button alarms, and emergency calls.

ESSENTIAL FUNCTIONS
- Provides customer service, as they are often the first point of contact for our agency and sign in all visitors per the visitation policy.
- Operate a centralized, multi-line phone system, answering and transferring calls. Take messages and maintain a log of calls.
- Maintain a current listing of employees and their telephone extension numbers.
- Dispatch the security department via radio base station and keep a running log of all radio communication.
- Monitor the hospital-wide panic button system and alarm panel consisting of fire, amber, and high-water alarms.
- Take emergency calls such as medical emergencies, safety teams, and fire calls.
- Communicate with all emergency personnel.
- Complete various forms and documents for the security department as directed by the manager.
- Update a patient directory for the hospital in compliance with HIPAA standards.
PREFERENCES
Preference may be given to applicants with one or more years of experience in secretarial or administrative assistant work.
KNOWLEDGE
- Knowledge of office procedures, filing, alphabetizing, and computer skills.
- Knowledge of two-way radio, alarm panels, and multi-line phone systems.
- Knowledge of spreadsheet and email programs.
- Knowledge of reviewing and editing documents for accuracy and completeness.
- Knowledge of methods used to tactfully deal with the public.
- Knowledge of telephone etiquette, coordinating telephone and visitor traffic, and communicating in a professional manner with others.
- Knowledge of agency policies and procedures.
MINIMUM QUALIFICATIONS
Education
High School Diploma or equivalent
Experience
0-2 years of progressive work experience (typically in Business Office Communications)

Education & Experience Substitution
1-3 years of progressive work experience (typically in Business Office Communications)

PHYSICAL WORKING CONDITIONS
- Typically, the employee may sit comfortably for extended periods to perform the work; however, there may be some walking, standing, bending carrying light items, etc.
- Special physical demands are not required to perform the work.

- FLSA: Non-Exempt
- A background check, including fingerprinting, will be completed through the Wyoming Division of Criminal Investigation, the Wyoming Department of Family Services, and the F.B.I. for every successful applicant.
- Pre-employment drug and alcohol testing will be conducted on safety-sensitive positions. Drug testing will be completed on any position if reasonable suspicion exists.
