Hilo Benioff Medical Center is seeking an Office Assistant IV to join the Plant Maintenance team on Hawaii's Big Island. You will provide advanced clerical and administrative support to help plan, coordinate, and run daily department operations.

The role requires strong organizational skills, accurate reporting, and effective communication with staff, vendors, and visitors. This position supports maintenance, purchasing activities, and regulatory compliance in a fast-paced hospital setting.

Qualifications

  • High school diploma or equivalent preferred; graduation may substitute for part of experience.
  • 2.5 years of progressively responsible clerical experience.
  • Substitution options available for clerical experience with coursework or degrees.
  • Knowledge of purchasing practices and public personnel administration is helpful.
  • Proficiency with MS Word, Excel, Outlook and office applications.

  • Provide clerical support by creating and maintaining reports, databases, charts and records.
  • Coordinate purchasing and contract activities; track orders and vendor services; support maintenance schedules.

Join Hilo Benioff Medical Center and become an essential member of the Plant Maintenance team that helps ensure our facilities remain safe, functional, and well maintained for patients, employees, and visitors. As an Office Assistant IV, you will provide advanced clerical and administrative support that directly contributes to the planning, coordination, and day‑to‑day operations of the department.


This position offers an opportunity to work in a fast-paced environment where organization, communication, and attention to detail are critical to supporting facility maintenance, construction projects, purchasing activities, and departmental operations.


Key Responsibilities


  • Provide comprehensive clerical and administrative support by creating and maintaining reports, databases, charts, graphs, inventories, and departmental records.

  • Coordinate purchasing and contract activities by preparing purchase requests, maintaining contract files, obtaining approvals, and tracking orders and vendor services. Support maintenance operations by updating preventive maintenance records, maintaining the department's maintenance management system, and assisting with annual maintenance schedules. Maintain time and attendance records, personnel files, and documentation required for payroll processing and regulatory compliance.

  • Prepare agendas, record meeting minutes, draft correspondence, and distribute reports and other departmental communications.

  • Serve as a primary point of contact for visitors, employees, vendors, and other stakeholders by providing excellent customer service, responding to inquiries, and ensuring effective communication.


Qualifications


  • Education: High school diploma or equivalent preferred. Graduation from high school may be substituted for one-half year of required experience.

  • Experience: Two and one-half (2 ½) years of progressively responsible clerical experience.


  • Substitution:


    1. Successful completion of a substantially full-time equivalent clerical/office support/business technology curriculum leading to a degree, diploma or certificate at an accredited community college, business or technical school which included courses in English, clerical/office procedures, and mathematics may be substituted for the required Clerical Experience on the basis of fifteen (15) semester credits of satisfactorily completed coursework for six (6) months of experience, up to a maximum of two (2) years. 2. Education in a baccalaureate program at an accredited college or university may be substituted for Clerical Experience on the basis of fifteen (15) semester credits for six (6) months of experience, up to a maximum of two (2) years.




  • Knowledge & Skills:



    • Proficiency with Microsoft Word, Excel, Outlook, and other common office applications.

    • Strong organizational, time management, and multitasking skills.

    • Excellent verbal and written communication skills.

    • Knowledge of purchasing practices and public personnel administration is helpful.

    • Ability to prioritize competing responsibilities and work effectively during periods of high activity.

* Rates listed for paid holidays, vacation and sick days are for 1.0 Full Time Equivalent (FTE) positions assigned to 8 hour shifts. Accruals for these benefits are otherwise prorated based on FTE.


Pre-Employment Health Requirements

Offers of employment will be contingent on successfully passing a pre-employment examination, which includes a drug screen and other regulatory medical requirements such as, but not limited to, a tuberculosis (TB) screen. The cost for drug screening and blood draw for QuantiFERON and Titers, shall be borne by the Hawaii Health Systems Corporation.
