Job summary

PUC Schools is hiring an Office Assistant at PUC Community Charter Early College High School in Sylmar, CA. This full-time, 12-month position provides front-desk support, answers phones, routes messages, distributes mail, and assists with attendance and documentation.

The ideal candidate is proficient with Microsoft Office, communicates clearly, and works well in a team; bilingual in Spanish is preferred. Compensation is $20.00–$28.56 per hour, with comprehensive benefits and opportunities for

Qualifications

  • Enrolled in college or BA/BS degree preferred.
  • Experience with students in an educational setting preferred.
  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Bilingual in Spanish preferred.

Responsibilities

  • Greet and assist parents, students, and visitors in a friendly, professional manner.
  • Answer phones professionally and route calls; take messages as needed.
  • Sort and distribute mail and respond to general information requests.
  • Assist Office Manager with attendance documentation accuracy.
  • Fax, copy, and assist with typing and composing letters.
  • Make phone calls to parents and assist with lunch count collection.
  • Distribute flyers and supervise during lunch and recess per policy.
  • Assist with parent meetings; translate for teachers, parents, and counselors if bilingual.
  • Create and organize students’ cumulative files; perform other duties as assigned.

The Team Member we are searching for

The ideal Office Assistant believes in, and is passionate about the mission and commitments of PUC Schools and exhibits this through their leadership, reflection, execution of school culture, and collaboration to ensure student success. The Office Assistant is responsible for greeting and assisting parents, students, and visitors at the school in a friendly and professional manner as well as providing excellent customer service.

What you’ll need to accomplish:
  • Answer phones using a professional and courteous manner and route calls appropriately
  • Take messages and distribute it in a timely manner
  • Sort and distribute mail
  • Reply to general information requests with accurate information
  • Assist Office Manager with proper documentation and accuracy of student attendance
  • Fax, make copies, and assist with typing and composes correspondence letters
  • Make phone calls to parents
  • Assist with collecting lunch count
  • Flyer distribution
  • Supervise during lunch and recess (policy & procedures)
  • Assist with the preparation of parent meetings
  • Translate for teachers, parents, and counselors (if bilingual)
  • Create students’ files and organize students’ cumulative files (CUM)
  • Perform other duties as assigned
Qualifications

What do we require from you?

Minimum Qualifications

Education:

  • Enrolled in college or possesses a BA/BS degree preferred

Experience:

  • Prior experience working with students in a learning environment preferred
Skills and Abilities
  • Proficient with Microsoft Suite: Word, Excel, PowerPoint, and Outlook
  • Excellent communication skills (verbal and written)

  • Must be flexible and team-oriented
  • Able to multi-task in a fast-paced environment
  • Bilingual in Spanish preferred

  • Regular attendance, dependability, and punctuality in conformance with the standards are essential to the successful performance of this position

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Occasionally required to kneel, climb and reach with hands and arms above shoulder level, lift up to 30 pounds. To bend, sit, stand, squat, stoop, walk, push, pull, and reach with hands and arms at shoulder level or below. Always required to wear the appropriate safety equipment for the task, which may include gloves, goggles, aprons, belts, etc.
