Job Description

Apelinc Landscape Services, Inc is a leading company in the landscape industry with operations in LA, Orange, San Bernardino, Riverside, and San Diego counties, with more than 15 years of experience.

We are seeking an Office Assistant to join our team at our Newport Beach, California office. The Office Assistant will support the Estimating Department and must be able to perform essential functions with or without reasonable accommodations.

Key responsibilities include:

  • Handling incoming calls and directing them appropriately.
  • Greeting visitors and applicants as the receptionist.
  • Monitoring and forwarding incoming emails.
  • Sorting and distributing mail.
  • Assisting with proposals and quotes for customers, including incorporating JPG photos into Microsoft Word documents.
  • Data entry tasks such as scanning and uploading documents into our database and QuickBooks.
  • Maintaining contact information for employees, customers, suppliers, and partners.
  • Managing files of vendors and properties, including insurance certificates.
  • Organizing record-keeping systems for employee documents.
  • Operating office equipment like copiers, phones, and computers.
  • Performing general office duties to support the administration team.
  • Other duties as assigned.

Qualifications:

  • High school diploma required; Associate degree preferred.
  • 1-3 years of data entry and office administration experience.
  • Experience working in an office setting.

Skills and Abilities:

  • Bilingual in English and Spanish.
  • Strong analytical, data entry, and communication skills.
  • Attention to detail, problem-solving, and adaptability.
  • High level of discretion and confidentiality.
  • Basic math skills.

Work Schedule: Monday to Friday, 8:30 am to 5:00 pm.
