Qualifications

  • 3+ years in a law firm support role, with client-facing or process-organization duties.
  • Bachelor’s degree or equivalent required.

  • Strong organizational skills; build systems/checklists and manage priorities.

The Role

We're looking for an Office Administrator & Client Success Manager — a hybrid role for someone who wants real ownership over both how our firm runs and how our clients experience it. A significant aspect of the role is client-facing as you will be responsible for maintaining plaintiff-recruitment campaigns and be the primary point of contact for our clients throughout their case. The other half is operational: working directly with the Managing Partner on the business side of the firm, including vendor management, maintaining firm benefits, and payroll. This is a high-ownership role at a firm that moves quickly and expects the same from its team members. You'll have direct, regular access to firm leadership rather than layers of management between you and decisions. And because the role spans both client experience and business operations, it's a genuine path toward a broader operations leadership role as the firm grows.

What You’ll Own
Campaigns & Plaintiff Outreach
  • Coordinate and manage plaintiff-recruitment campaigns
  • Track campaign performance and cost-per-signed-client across vendors
  • Serve as the firm's point of contact for every inbound lead
Intake Coordination
  • Own the intake pipeline from first contact through signed engagement letter
  • Run structured intake interviews, gather and organize case facts, and keep our case management system (CLIO) up to date
  • Coordinate case review with attorneys and keep leads warm while cases are being evaluated — nobody should sit around wondering if we're still interested
  • Send and track engagement letters through signature
Client Communication & Case Support
  • Be the single point of contact for every active client — proactive updates on case status, what's happening, and what's next, on a defined schedule
  • Field client questions directly (status, timeline, documents, process) and route anything requiring legal judgment straight to the right attorney
  • Own settlement-stage communication: explaining settlement terms and timelines, answering payment questions, and collecting required paperwork (signed agreements, W-9s, payment preferences) — making sure nothing holds up a client getting paid
  • Maintain referral-source relationships and manage post-settlement follow-up, reviews, and testimonials
  • Assist paralegals with document preparation, evidence gathering, and filing-related tasks
Office & Business Administration
  • Maintain and report settlement-status data (timelines, amounts, payment stage) to support the firm's settlement projections
  • Support firm financial planning and cost management alongside the Managing Partner — tracking expenses, budgets, and vendor spend
  • Handle payroll processing and coordination with our payroll provider, including onboarding new hires into payroll and benefits systems
  • Serve as a general operational point of contact for the firm — vendor accounts, office subscriptions/software licensing, and other administrative needs that come with running a fully remote practice
What We're Looking For
  • 3+ years in a law firm support role, involving any combination of client-facing or process organization functions — account management, legal operations, payroll, account and vendor management, client communications, legal intake, marketing, or similar.
  • Bachelor’s degree or equivalent
  • Comfortable being the primary point of contact for people who are often stressed, impatient, or unfamiliar with legal process — you're warm, clear, and steady under pressure
  • Strong organizational instincts — you build systems and checklists rather than relying on memory, are able to prioritize tasks, and you don't let things fall through the cracks
  • Comfortable with numbers and detail‑oriented recordkeeping — you don't need bookkeeping experience, but reconciling a spreadsheet or tracking a budget line shouldn't intimidate you
  • Excellent written and verbal communication
  • Comfortable working independently in a fully remote environment, self‑directed, high output, positive attitude
  • Nice to have: experience with legal case management software (Clio, Filevine, MyCase, or similar), background in office administration or bookkeeping, experience in class action or mass tort, or experience running marketing campaigns
Compensation & Logistics
  • Base salary: $75,000–$100,000, commensurate with experience
  • Bonus tied to individual and firm performance metrics
  • Strong benefits package includes healthcare, dental, vision, 401K match
  • Fully remote — work from anywhere in the U.S.
  • Reports directly to firm leadership
