Job Location: Milwaukee, WI 53205
The Office Administrator is the first line of contact with scholar families. He/she provides administrative support to the campus by answering phones, handling correspondence, maintaining databases, and other general office duties.
- Prepare, organize, and maintain reports, correspondence, forms, and spreadsheets
- Maintain organized filing systems for all school records (digital and paper).
- Maintain confidentiality and professionalism at all times.
- Maintain a start-up checklist to ensure the school begins fully prepared and stocked.
- Maintain an end-of-year checkout list in collaboration with OA2.
- Serve as the first point of contact for families, students, and visitors—answer phones, greet visitors, respond to inquiries, and direct individuals appropriately.
- Administer medications and basic first aid to students as needed; communicate with families about health concerns.
- Coordinate late pick-up processes with the principal.
- Manage all student records: specifically attendance, health records, immunization forms, and other required documentation.
- Support with creation and distribution of transcripts and record requests.
- Support with admissions/enrollment processes and required paperwork, including lotteries, waitlists, orientations, and compliance documents (e.g., free/reduced lunch applications).
- Manage school input into Skyward and other student information systems; ensure data accuracy for attendance and in/out actions.
- Support distribution and collection of annual forms, mailings, and emergency preparedness documentation.
- Coordinate arrangements for all field trip transportation, lunches, and payment paperwork
- Help maintain office supplies, uniforms, shared technology, and office equipment (copiers, fax machines, postage machines).
- Support storage, accountability, and accessibility of school materials, furniture, and equipment (in collaboration with principal and DO).

- Excellent interpersonal skills required to interact with others and contribute to a positive office atmosphere.
- Good organizational skills necessary to ensure that files, folders, and schedules are in proper order so the office can run efficiently.
- Office Administrators frequently write memos and email when communicating with administrators, staff, scholars and parents/guardians. Therefore, they must have good grammar, ensure accuracy, and maintain a professional tone.
Qualifications
Education
High School Diploma required, associate degree or higher is preferred.
Experience
Must have at least three years of experience and/or educational background sufficient to meet the wide range of responsibilities of the position.
Must obtain Mandatory Child Abuse Reporting Certification annually prior to first day with scholars.
