Job summary

Nova Sky Stories, headquartered in the U.S., is seeking an Office Administrator for our Boulder HQ to keep daily operations smooth. You’ll manage admin needs, onboarding, vendor coordination, meetings, and events, all with a proactive, service-oriented approach.

Qualifications

  • 2+ years of experience in office administration, office coordination, workplace operations, administrative support, or a similar role.
  • Strong organizational and time-management skills with the ability to balance multiple priorities and requests.
  • Excellent written and verbal communication skills with a professional, service-oriented approach.
  • Ability to work independently, take initiative, and follow through on responsibilities with limited oversight.
  • Proficiency with Google Workspace, Slack, and common workplace technology.
  • Strong attention to detail and comfort handling administrative information with discretion.
  • Ability to work full-time and on-site at our Boulder office.

Responsibilities

  • Manage the day-to-day administrative and operational needs of the Boulder office, ensuring a professional, organized, and welcoming workplace.
  • Coordinate office logistics including supplies, inventory, mail, packages, deliveries, meeting rooms, shared spaces, and general workplace needs.
  • Serve as a point of contact for vendors, building management, cleaning services, maintenance providers, and other workplace partners.
  • Support employee onboarding and offboarding logistics, including workstation preparation, equipment coordination, office access, materials, and new-hire orientation.
  • Provide general administrative support to leadership and the broader team, including scheduling, meeting coordination, document organization, purchasing, and other operational requests.
  • Coordinate office meetings, team lunches, celebrations, employee events, and visits from employees, clients, and other guests.
  • Maintain organized workplace records, procedures, supply systems, and administrative documentation.
  • Proactively identify opportunities to improve office processes, organization, communication, and the overall employee experience.

About This Role

Nova Sky Stories is looking for a proactive, organized, and resourceful Office Administrator to help keep our Boulder headquarters running smoothly. This role sits at the center of the day-to-day workplace experience, providing administrative and operational support to employees, leadership, and visitors while ensuring the office remains organized, welcoming, and ready for whatever the day brings.

This is a hands-on role for someone who enjoys variety. One day you may be coordinating a vendor or preparing for a new employee's first day, and the next you may be organizing a leadership meeting, helping with an office event, or solving an unexpected workplace need.

We're a fast-moving organization, so we're looking for someone who doesn't wait to be told what needs attention. You'll notice the details, anticipate needs, and help create the structure that keeps our team moving.

As An Office Administrator, You’ll Be Responsible For
  • Manage the day-to-day administrative and operational needs of the Boulder office, ensuring a professional, organized, and welcoming workplace.

You’ll Need To Have

  • Experience supporting a fast-paced startup, creative, entertainment, or technology environment.
  • Experience coordinating vendors, facilities, or building management.
  • Exposure to employee onboarding, HR administration, or employee experience initiatives.
  • Experience coordinating company events, team meetings, executive visits, or office gatherings.
  • Familiarity with basic purchasing, invoice coordination, expense tracking, or office budgeting.
  • Comfortable jumping between administrative responsibilities and hands-on workplace needs.

Salary Range: $24.00 - $29.00 USD hourly
