  • Cross-functional visibility and collaboration across shared services, firm leadership, and client-facing teams
  • A role where your initiative, judgment, and attention to detail drive meaningful, daily impact
  • Growth within a people-first firm that values and invests in the team members who keep it running
Key Responsibilities
  • Oversee daily office operations, ensuring workflow coordination, on-site coverage, and issue resolution run smoothly
  • Serve as the on-site escalation point for operational matters, resolving what can be handled locally and routing larger concerns appropriately
  • Administer workspace reservation systems, support hoteling guidelines, and optimize space utilization across the office
  • Manage local vendor relationships, track service delivery, and support contract renewal and cost discussions
  • Oversee office supply and inventory planning at the office level
  • Submit invoices, expense documentation, and purchase order requisitions for review and approval
  • Coordinate logistics for office events, client visits, and visiting team members and leadership
  • Arrange catering, materials, and setup and breakdown for meetings and large-scale office gatherings
  • Maintain office-wide communications, local records, vendor files, and building access
  • Anticipate coverage needs around absences, peak periods, and firm events, and arrange temporary support as needed
  • Support onboarding logistics for new team members in partnership with People & CultureIdentify opportunities to improve the in-office experience and bring recommendations forward
Candidate Qualifications
  • High school diploma or equivalent; additional education or certification in office administration is a plus
  • 3+ years of experience in office administration, operations coordination, or facilities support, preferably in professional services
  • Experience coordinating the work of others, whether through direct oversight or cross-functional collaboration
  • Valid driver's license required for occasional local errands and vendor visits
Leadership Skills
  • Ability to coordinate and guide the work of others without formal authority, building trust and accountability across roles
  • Proactive and self-directed, with the initiative to act, follow through, and course-correct independently
  • Composure under pressure with sound judgment when navigating competing priorities or ambiguous situations
  • Strong interpersonal skills with the ability to build relationships across all levels of the organization
  • A collaborative mindset with the confidence to bring forward recommendations and influence outcomes
Technical Skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Comfort picking up new software quickly, including workspace reservation or property management platforms
  • Familiarity with invoice processing, expense documentation, or purchase order workflows
