- On-call availability required for after-hours and weekend shift coverage

Responsibilities
- Coordinates the scheduling of staff to maintain the staffing standards as designated.
- Finds coverage for any open shift as necessary.
- Assists in all aspects of managing use of agency staffing including working to find employee coverage first and reducing agency use. Maintains complete list of agency staff not allowed to return to any of the three buildings, and insures they are not scheduled to work.
- Manages scheduling software including being the “expert” in its use and helping to train all employees how to utilize it.
- Reviews time sheet data and submits it within Paycor every other Monday by 1:00 p.m.
- Monitors absenteeism and tardiness of employees and makes follow up with Directors of Nursing (DON).
- Schedules and coordinates new employee orientation in coordination with the DONs.
- Updates dailies in the G drive every workday with all changes since the previous workday, including call offs no call no show, Voluntary Call Off /Low Census Day (VCO/LCD), floats, etc.
- Develops staffing/payroll reports as necessary.
- Supervise Staffing Assistant(s) that handle the evening and weekend call offs and coverage. May need to fill in occasionally if an Assistant is off.
- Utilize all communication processes set up including scheduling text groups and email groups.
- Monitors and administer PTO, float holiday, sick pay, holiday pay, and other non-productive pay appropriate for each employee’s balance in each of those benefit areas. Includes managing holiday rotation.
- Ensures bonus information such as attendance and float bonuses for nursing staff who qualify is entered into Paycor on the next business day after criteria for the bonus is met.
- Makes changes to the building and care area in Paycor when a staff member has to float from usual area to maintain appropriate reporting for Payroll-Based Journal, which affects each facility’s individual 5 star rating.
- Adjust and manage staffing daily in response to facility census changes.
- Maintains employee phone lists at all three facilities and updates weekly with all new hires and status changes.
- Maintains confidentiality of employee health and personal concerns.
- Maintains Float and VCO/LCD turn lists.
- Spends time at other campuses, and/or attends meetings to meet with staff and leadership as needed. Required to attend monthly Health Services Staff meeting and quarterly Town Halls at a minimum.
- Answers nursing staff employees’ scheduling and payroll-related emails in a timely manner.
- Coordinates the distribution and acknowledgment of receipt of changes in policies, procedures, non-confidential forms, employee handbook, etc. as requested by Human Resources and nursing department administration.

Qualifications
Education: High School Diploma.
Licenses or other required certifications: None.
Experience: At least two years prior medical offices experience including scheduling preferred. Experience using Paycor or other payroll/scheduling system is helpful.
Specialized knowledge, skills, or abilities: Computer experienced required, specifically proficient in Microsoft Word and Excel, must be skilled at multi-tasking and paying attention to fine details.
