Job Summary and Qualifications
In this role, responsibilities include:
- Managing nurse manager’s calendars, scheduling meetings and events, and coordinating arrangements including assembling packets of information, creating agendas, attending meetings and taking minutes, coordinating catering, confirming A/V, etc.
- Answering phones and directing calls as appropriate.
- Greeting and directing incoming visitors.
- Filing expense reports using Concur.
- Logging and editing employee time in Kronos.
- Completing departmental and quality audits as assigned and trained.
- Working with the patient advocate and leaders on service recovery needs.
- Organizing PowerPoint presentations and business strategy plans.
- Submitting and tracking capital quotes, POs, and CERs in partnership with the finance team.
- Developing PowerPoint presentations for business case reviews.
- Assisting with process improvement initiatives and analysis.
- Organizing policy and procedure reviews and deadlines.
- Extracting and disseminating medication portal (BCMA) reports monthly to the MDT and Medication Committees.
- Completing monthly goal alignment board communication and posting to assigned units.
- Pulling nursing KPI data for manager review and oversight.
- Completing and tracking retention checklist as items are completed or coming due.
- Running reports for ORBIT and RESOLVE rounding and stoplight report creation.
- Maintaining departmental organizational charts.
- Completing Magnet program data entries and unit scorecard disbursement.
- Working with business development and marketing team to promote and organize physician office visits, materials, and community events to department teams.
- Organizing ordering of colleague gifts and recognition items throughout the year for special events and celebrations.
- Participating in the EAG and planning committees for annual staff events.
- Working collaboratively with executive assistants and department leaders to complete projects.
- Interacting with administrative staff, outside agencies, vendors, physicians, corporate/division staff, as well as departments within the facility.
- Reviewing supply chain needs and completing purchases.
- Performing multiple tasks simultaneously and efficiently, and prioritizing job responsibilities to ensure that workflow is smooth for office efficiency.
What qualifications you will need:
- Bachelor's Degree required.
- Master's Degree in Business or Healthcare Administration preferred.
- Two to three years office experience preferred.
- Strong customer service and communication skills.
- Proficient in Microsoft Office, Excel, PowerPoint, Outlook, WebEx.
