Job summary

Heartspring seeks an experienced RN leader to serve as Nurse Office Manager, directing the daily nursing office operations and a team providing around-the-clock medical support to children with complex needs.

You will lead CMAs, manage staffing, workflows, training, and compliance while collaborating with the Nursing Director and cross-functional teams to ensure safe, high-quality care for students.

Qualifications

  • Current RN license in good standing.
  • 5+ years in nursing leadership or clinical operations.
  • Experience supervising healthcare employees.
  • Experience managing staffing, scheduling, and clinical workflows.
  • Strong knowledge of healthcare compliance and quality improvement.
  • Experience leading CMAs, CNAs, LPNs, or similar roles preferred.

Heartspring is seeking an experienced Registered Nurse (RN) leader to join our team as Nurse Office Manager, leading the daily operations of our nursing office and the team providing around-the-clock medical support to children with complex medical, behavioral, and developmental needs.

This role combines nursing leadership, clinical operations, staff management, care coordination, healthcare compliance, and quality improvement. You'll lead a team of Certified Medication Aides (CMAs), partner closely with our Nursing Director, and collaborate across our therapeutic school and residential programs to ensure students receive safe, consistent, high-quality care.

  • Schedule: Full-Time | 40 hours/week | Onsite
  • Hours: 2nd Shift | Rotating night and weekend on-call responsibilities
  • Requirements: Active RN license | 5+ years of healthcare leadership, nursing management, or clinical operations experience
What You'll Do
  • Lead, coach, and develop a team of Certified Medication Aides (CMAs) providing 24/7 medical support to students across Heartspring's therapeutic school and residential programs
  • Oversee day-to-day nursing operations, including staffing, scheduling, workflows, training, onboarding, performance management, and team coverage
  • Partner closely with the Nursing Director to support departmental goals, staffing needs, quality initiatives, and operational priorities
  • Foster a positive, organized, accountable, and collaborative team culture focused on exceptional student care
  • Coordinate closely with nursing, education, residential, behavioral, and therapy teams to ensure continuity of care for students with complex needs
  • Support the implementation and coordination of individualized healthcare plans, medication protocols, and student medical needs
  • Provide clinical leadership and guidance to team members while ensuring appropriate escalation of medical concerns
  • Maintain compliance with healthcare regulations, accreditation standards, medication administration requirements, and organizational policies
  • Monitor documentation and medical records for accuracy, completeness, and regulatory compliance
  • Lead quality improvement, compliance, risk management, audits, and process improvement initiatives
  • Develop, implement, and reinforce policies and procedures that promote student safety and operational excellence
  • Oversee nursing office workflows, supplies, resources, and day-to-day operational needs
  • Assist with staffing recommendations, budgeting, resource planning, and departmental decision-making
  • Identify opportunities to improve workflows, team efficiency, quality of care, and the student and family experience
  • Participate in a rotating on-call schedule to provide leadership support during nights and weekends as needed
What We're Looking For

The ideal candidate is an experienced RN leader who can balance people leadership, clinical judgment, operational excellence, and attention to detail in a fast-paced environment. We're looking for someone who has:

  • Strong nursing leadership and healthcare management experience, including coaching, developing, and holding team members accountable
  • Experience managing healthcare operations, clinical workflows, staffing, scheduling, or nursing office functions
  • Strong clinical judgment and the ability to provide leadership during urgent or complex situations
  • Experience supporting individuals with complex medical, developmental, behavioral, or pediatric healthcare needs preferred
  • Knowledge of medication administration, clinical documentation, healthcare compliance, and patient safety standards
  • Experience with quality improvement, regulatory compliance, risk management, and process improvement
  • Exceptional attention to detail and a commitment to accurate medical records, documentation, and medication protocols
  • Strong organizational and time-management skills with the ability to balance competing priorities
  • Excellent verbal and written communication skills and the confidence to communicate effectively with employees, leaders, families, and interdisciplinary teams
  • A collaborative leadership style and the ability to build strong partnerships across nursing, education, residential, behavioral, and therapy teams
  • Strong problem-solving skills with the ability to identify opportunities, develop solutions, and improve processes
  • Experience using Electronic Medical Records (EMR/EHR), Microsoft Office, and other healthcare technology systems
  • Dependability, professionalism, and a commitment to providing exceptional service to students and families

Requirements

Education & Experience

  • Current Registered Nurse (RN) license, in good standing
  • 5+ years of progressively responsible experience in nursing leadership, nurse management, clinical operations, healthcare management, or healthcare office operations required
  • Previous experience supervising, coaching, or managing healthcare employees required
  • Experience managing staffing, scheduling, clinical workflows, and administrative processes
  • Strong knowledge of healthcare compliance, quality improvement, clinical documentation, and risk management
  • Pediatric, behavioral health, developmental disability, school nursing, residential care, or similar experience preferred
  • Experience leading CMAs, CNAs, LPNs, nursing support staff, or other direct-care healthcare professionals preferred

  • Physical Interactions & Exposure Risks: Frequent exposure to physical interactions from clients, including slapping, hitting, punching, kicking, head-butting, and biting. Potential exposure to infectious diseases, parasites, bodily fluids, and blood-borne pathogens in a school and residential care setting.
