Job summary

Northern High in Grand Rapids, Michigan is seeking an Athletic Event & Program Coordinator to support the Athletic Department. You will help plan and administer home athletic events, assist with problem solving, and serve as on-site representative during events.

Responsibilities

Northern Athletic Event & Program Coordinator
Northern High

Reports To: Athletic Director and Principal

Salary: As described in the supplemental contract of the Master Agreement between the Board of Education, Forest Hills Public Schools, and Forest Hills NEA-MEA District Association.

Schedule: 3-4 days per week / Hours vary based on the athletic event schedule; includes evening and occasional weekend responsibilities

Job Summary: The Athletic Event & Program Coordinator serves as a key leadership and support position within the Athletic Department. Working closely with the Athletic Director, the Coordinator will help ensure athletic events are organized, safe, welcoming, and efficiently operated while also supporting the continued development and improvement of athletic programs. The Coordinator will serve as an extension of the Athletic Director during athletic events, assist with problem-solving and conflict resolution, identify programmatic concerns, and help develop solutions that strengthen the overall student‑athlete experience.

Qualifications:

Required

  • Experience working in athletics, education, event management, recreation, or a related field.
  • Strong organizational and communication skills.
  • Ability to work independently and make appropriate decisions in a fast-paced environment.
  • Ability to effectively manage difficult or unexpected situations.
  • Commitment to positive student‑athlete experiences and educational athletics.

Preferred

  • Previous coaching, athletic administration, school administration, or athletic event management experience.
  • Knowledge of MHSAA rules and high school athletic operations.
  • Experience working with students, coaches, parents, officials, and school personnel.
  • Demonstrated ability to identify problems and develop practical solutions.
  • Experience evaluating or developing athletic programs.

Essential Job Functions

Athletic Event Administration

  • Assist the Athletic Director with the planning, coordination, and administration of home athletic events.
  • Serve as an on‑site representative of the Athletic Department at assigned events.
  • Help ensure facilities, personnel, officials, equipment, tickets, concessions, security, and other event needs are properly coordinated.
  • Monitor events to ensure they operate safely, efficiently, and in accordance with school, conference, and MHSAA expectations.
  • Troubleshoot unexpected issues that arise before, during, and after athletic events.
  • Coordinate with coaches, officials, game workers, facilities staff, administrators, students, and spectators as needed.
  • Help ensure appropriate expectations for sportsmanship, spectator behavior, and facility use are maintained.
  • Assist with emergency situations and communicate significant concerns to the appropriate administrator.
  • Complete post‑event follow‑up when necessary to address operational concerns or identify improvements.

Problem‑Solving & Conflict Resolution

  • Serve as a visible and approachable athletic department presence during events.
  • Address routine concerns and conflicts that arise during athletic events in a calm, professional, and solutions‑oriented manner.
  • De‑escalate situations involving students, coaches, parents, spectators, officials, or other event participants.
  • Use sound judgment to determine when an issue can be resolved independently and when it should be elevated to the Athletic Director or building administration.
  • Help protect the integrity, safety, and positive culture of Forest Hills Athletics.
  • Model professionalism, respect, and the principles of educational athletics in all interactions.

Athletic Program Support & Development

  • Work collaboratively with the Athletic Director to support the growth and development of Forest Hills athletic programs.
  • Help identify areas of strength, concern, or opportunity within individual athletic programs.
  • Observe program operations and provide objective feedback to the Athletic Director.
  • Assist in identifying solutions to program concerns related to communication, organization, culture, student‑athlete experience, coaching, scheduling, facilities, or program development.
  • Support the implementation and follow‑up of program improvement initiatives.
  • Assist with program evaluations, surveys, and other methods of gathering feedback when appropriate.
  • Help identify opportunities to improve the connection and consistency between Forest Hills athletic programs and the department's overall vision and expectations.
  • Support initiatives designed to improve student participation, development, leadership, sportsmanship, and the overall student‑athlete experience.

Coach & Staff Support

  • Serve as an additional resource for coaches regarding event operations and athletic department procedures.
  • Help coaches navigate operational challenges and connect them with the appropriate resources.
  • Reinforce established athletic department expectations and procedures.
  • Communicate relevant concerns, trends, or opportunities to the Athletic Director.
  • Assist with department initiatives, coach development, meetings, and professional learning when assigned.

Department Operations

  • Assist the Athletic Director with day‑to‑day athletic department responsibilities as assigned.
  • Help monitor and address facility, equipment, scheduling, staffing for athletic event‑related needs.
  • Assist with special athletic department events, tournaments, postseason events, recognition events, and other departmental initiatives.
  • Help develop systems and procedures that improve the efficiency and consistency of Forest Hills Athletics.
  • Provide additional leadership and support during periods of high athletic activity.

Physical Requirements: While performing the duties of this job, the employee is required to stand, walk, sit, use hands to finger, handle, or feel, reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl, talk, hear (in a quiet or noisy environment). The employee must occasionally lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust/focus. Work Environment: The noise level in the work environment is usually loud to moderate. Work may be performed indoors and/or outdoors. The employee is directly responsible for the safety, well‑being and work output of students. Travel may be required.

Mental Functions: While performing the duties of this job, the employee is required to compare, analyze, communicate both orally and in writing, copy, coordinate, instruct, compute, synthesize, evaluate, use interpersonal skills, compile and negotiate.
