Job description

Auction & Events Coordinator will be responsible for coordinating all aspects of agency events, both non-fundraising and fundraising events. This includes our largest fundraiser of the year, our annual gala dinner & auction, annual Run-to-Work fundraiser, annual client and staff gatherings, as well as coordinating potential third-party events.

QUALIFICATIONS:

  • One year of experience performing administrative duties
  • Required two years’ experience in large event planning and coordination for nonprofits, specifically with coordinating nonprofit galas and auctions.
  • Database knowledge and literacy (nonprofit CRM and auction management platforms)
  • Must be a self-starter, able to work productively and independently and as part of a team (potentially hybrid environment)
  • Ability to prioritize tasks to meet multiple, simultaneous deadlines and fundraising goals, using clear communication and effective systems to ensure that all assignments and tasks are completed on time
  • Verification of credentials and clearance of Washington State Patrol Background Check
  • A valid Driver’s License and acceptance to Work Opportunities’ insurance carrier

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES OF POSITION:

Coordinate all agency events, adhering to strict timelines and fundraising goals. This includes annual fundraising and agency events: Annual auction, Run-to-Work, annual client picnic and new year celebration, annual dinner, and third-party fundraising events.

  • Annual Gala Dinner & Auction and Run to Work Events’ Management
  • Secure donated items, gift cards, and experience donations for silent and live auctions, meeting weekly solicitation goals.
  • Collaborate on $80K–$100K in sponsorship outreach each year to meet our $50K target.
  • Design and mail event and registration information
  • Sell dinner tickets, both individual tickets as well as full tables
  • Enlist and coordinate all volunteer needs
  • Form and manage volunteer planning committee and monthly meetings
  • Act as liaison between staff, donors, and guests
  • Send out thank you cards and receipts immediately after events
  • Reach event(s) goals including budget and fundraising goals, increasing annually
  • Data entry of donations, items, guests, volunteers, etc.
  • Attend weekly development team meetings, reporting out on status
  • Periodically attend team meetings to convey event news and needs
  • Represent Work Opportunities at community events when possible and consider joining one local networking group of your choice (e.g., Chamber, Rotary) to help build community connections.
  • Coordinate quarterly third-party community events (local restaurant/business partnerships)
  • Coordinate annual staff and client celebrations (summer and year-end)

Pay: $25.00 - $28.00 per hour DOE
