Position Summary

Position Summary:

The Neighborhood Administrative Coordinator provides administration, coordination, and leadership for the following specialized areas: Conferences, Service Centers, Safety and Security including keys and building access, Housing and Customer Service. The position trains, supervises, and evaluates a team of student supervisors who oversee more than 60 student employees working at the residence hall service centers. Neighborhood Administrative Coordinators are responsible for coordination, implementation and maintenance of the operational services provided within a neighborhood of approximately 2800 residents. This position will interact with the Business Offices, RHS Payroll, Safety and Security Services Coordinator, Neighborhood partners including Facilities and Residence Education, Culinary, academic departments, and University Conference Services. The Neighborhood Administrative Coordinators report to the Assistant Director for Residence Hall Operations.

Characteristic Duties and Responsibilities:

Serves as administrative operational contact for the neighborhood engagement center and/or neighborhood and provides administrative leadership for the following specialized areas: conferences, neighborhood and engagement center initiatives, training. Coordinates neighborhood building access process. Performs duties related to a residence hall or apartment complex to facilitate operations. Provides administrative leadership for business functions relating to conference and room bookings, tracking expenditures, hoteling and handling Business and Finance Services reports and financials that occur at Owen with Visiting Scholars.

Trains, develops, supervises, evaluates, and schedules student team members who work at service centers and the business office. Provide service for summer school operations. Serves as a liaison with residents and guests, including providing referrals to University services and resources and responding to and resolving issues and concerns. Aids with conferences, including registration, customer service, bookings, and updating electronic tracking system. Assists in developing and coordinates the implementation policies and procedures. Oversee operations in order to maintain quality control and meet deadlines to facilitate student success. Forecasts needs and orders supplies in order to maintain inventory levels. Prepares special and regular financial or other reports and maintains unit records. Maintains health and safety standards in order to ensure compliance with University, State, and Federal rules and regulations.

Communications/Interpersonal Relationships interacts with:

Directors/Administrators – in order to receive assignments, provide information, and coordinate schedules. Neighborhood partners- in order to coordinate services for residents and guests Student, On-Call, Temporary and Volunteers – in order to provide training and supervision, coordinate work, resolve problems, and exchange information. Departmental Supervisors – in order to coordinate activities, discuss personnel needs and upcoming functions. Students/Public/Customers – in order to exchange information, resolve problems and/or provide services. External Groups – in order to exchange information and coordinate services.

All positions in RHS are designated as critical status. In the event of a university closure, modification, or suspension of operations due to snow or other emergency condition, persons in this position are expected to make all reasonable attempts to report to work as scheduled for the duration of the closure/suspension. If a person has an approved remote work agreement to work a portion of their normally scheduled work hours remotely, they may be called upon to work on-site to serve the MSU community.

Minimum Requirements

Knowledge equivalent to that which would normally be acquired by completing a four-year college degree program in business, social science, education, or in a field related to the area of employment; one to three years of related and progressively more responsible or expansive work experience in performing tasks related to the area of residence hall operations; experience leading and supervising groups of 60 or more student employees; experience with word processing, spreadsheet and presentation software; or an equivalent combination of education and experience.
