Job description

BKM Capital Partners and BKM Management Company are growing firms seeking driven, entrepreneurial professionals who want to grow with us and are passionate about their work. Located in our Newport Beach, California office, the National Facilities Manager will oversee the planning, development, coordination, and management of our expanding network of corporate and field offices.

This position serves as the single point of accountability for new office openings, construction and buildouts, relocations, temporary office arrangements, expansions, and ongoing facility improvements. The National Facilities Manager will partner closely with Property Management, Construction, IT, Human Resources, Administration, Accounting, and regional leadership to ensure offices are properly planned, efficiently executed, and fully operational when needed.

The ideal candidate is a hands‑on problem solver who thrives in a fast‑paced, growing organization, anticipates challenges, manages complex projects across multiple markets, and drives accountability across departments. This is not simply a facilities maintenance position; it requires full ownership of BKM's national office infrastructure, office standards, and scalable processes.

This role is 100% in‑office due to its collaborative nature. Travel will be required as needed – up to 10%.

The Key Responsibilities:
National Office Planning & Space Management
  • Oversee BKM's national network of corporate and field offices, including permanent locations, temporary offices, and planned expansions.
  • Evaluate office space requirements based on current staffing, anticipated hiring, and future growth projections.
  • Review and approve proposed floor plans within established authority, ensuring sufficient capacity for future headcount growth, appropriate office layouts, and efficient space utilization.
  • Work with leadership and department heads to determine seating, conference room capacity, common areas, storage, and other workspace requirements.
  • Establish and maintain company-wide office design standards for furniture, finishes, signage, workstations, conference rooms, and appearance.
  • Evaluate opportunities to consolidate, expand, relocate, or improve existing office locations.
  • Maintain a comprehensive inventory of office locations, including square footage, seating capacity, occupancy, lease information, and future space requirements.
Office Openings, Construction & Relocation
  • Serve as the primary project manager for new office openings, expansions, renovations, relocations, and closures.
  • Coordinate office buildouts and improvements with internal Construction teams, architects, contractors, landlords, and service providers.
  • Develop project plans, budgets, timelines, and milestone schedules for each office project.
  • Ensure that floor plans, furniture selections, technology requirements, security systems, and other needs are identified early in planning.
  • Monitor construction and improvement projects for timely completion, quality workmanship, and adherence to approved plans and budgets.
  • Conduct site visits and walkthroughs to evaluate progress, identify deficiencies, and confirm operational readiness.
  • Coordinate final inspections, punch lists, furniture installation, and office turnover.
  • Ensure closures and relocations include proper disposition, transfer, or reuse of furniture, equipment, and other company assets.
Cross-Department Coordination & Accountability
  • Serve as the central point of contact for all departments involved in establishing or modifying BKM offices.
  • Coordinate with IT so internet connectivity, network infrastructure, workstations, printers, conference room technology, security systems, and access controls are planned and installed on schedule.
  • Partner with HR and regional leadership to understand staffing plans, employee start dates, and workspace requirements.
  • Work with Accounting to coordinate vendor setup, invoicing, budgets, and payment processing.
  • Partner with Construction and Property Management leadership regarding office improvements and physical facility requirements.
  • Develop and maintain standardized opening, relocation, and closure checklists with clear responsibilities and communication protocols.
  • Establish departmental deadlines and deliverables, conduct project coordination meetings, and provide timely status updates.
  • Proactively identify delays, resource constraints, or communication gaps and drive issues to resolution.
  • Ensure no new office is occupied until all critical operational requirements have been completed and verified.
Temporary Office Management
  • Identify, evaluate, and coordinate temporary office solutions when suitable permanent locations are unavailable.
  • Manage arrangements with flexible workspace providers, such as Regus and WeWork, as needed.
  • Coordinate temporary office setup, including furniture, connectivity, equipment, access, and employee workspace needs.
  • Monitor temporary office commitments, associated costs, renewal dates, and anticipated transition timelines.
  • Minimize unnecessary expense overlap and coordinate employee moves to permanent facilities with minimal disruption.
Vendor Management, Procurement & Budget Oversight
  • Manage relationships with furniture vendors, general contractors, movers, office equipment providers, and other facilities vendors.
  • Obtain competitive bids, evaluate proposals, negotiate pricing, and recommend vendors.
  • Establish preferred vendors and standardized purchasing programs where appropriate.
  • Prepare and monitor office construction, furniture, relocation, and facilities-related budgets.
  • Identify cost savings through competitive purchasing, improved planning, and reuse of existing company assets.
  • Review invoices and project expenditures for accuracy and adherence to approved budgets.
  • Maintain records of vendor agreements, warranties, office-related contracts, and major equipment purchases.
Ongoing Facilities Management
  • Serve as the corporate resource for significant facilities issues affecting field offices.
  • Partner with designated local Office Managers to maintain consistent company-wide workplace standards.
  • Coordinate larger repairs, renovations, furniture replacements, and office improvement projects.
  • Work with qualified professionals and vendors to address applicable building, fire, accessibility, and workplace safety requirements.
  • Identify opportunities to improve office functionality, efficiency, and the employee experience.
  • Develop preventive maintenance and facilities planning procedures where appropriate.
  • Support regional offices while local Office Managers retain routine office administration responsibilities.
Process Improvement & Reporting
  • Develop and maintain a centralized tracking system for office locations and active facilities projects.
  • Create standard procedures for office requests, space planning, budget approvals, project execution, and office readiness.
  • Provide regular reporting on office projects, upcoming openings, budgets, risks, and completion dates.
  • Establish measures for project completion, budget adherence, office readiness, and operational efficiency.
  • Evaluate software, automation, and AI-enabled tools to improve project tracking, facilities management, and cross-department communication.
  • Recommend improvements that help BKM efficiently scale its national office infrastructure.
