Job summary

SPECIAL SERVICE FOR GROUPS, INC. is seeking a File Clerk Supervisor to oversee file room operations across all sites, ensuring confidentiality and audit readiness under HIPAA and related regulations. The role reports to the Senior Manager for Contracts & Compliance.

Responsibilities include supervising File Clerks, training staff, audits, and coordinating with security and offsite storage. Travel between sites is required as part of supervisory duties.

Qualifications

• Associate degree required; bachelor’s degree preferred or 3 years records management experience.
• Minimum of two years in file/records management; at least one year in a lead/supervisory capacity.
• Working knowledge of HIPAA, 42 CFR Part 2, and confidentiality regulations.
• Ability to train, coach, and supervise staff across multiple sites.

Responsibilities

• Supervise File Clerks across all locations and ensure file room operations.
• Train, coach, and evaluate performance of File Clerks.
• Audit file rooms for compliance with labeling, access, and security.
• Coordinate offsite storage and ROI requests.
• Prepare reports on file room compliance and audit readiness.
• Manage timesheets and payroll-related documentation.
