Responsibilities

  • Serve as the central hub for MRO stores, requisitions, and consumables.
  • Minimize time spent locating materials for Facilities Operations.
  • Maintain, develop, and reconcile Facilities Services financial records related to MRO stores.
  • Audit all financial transactions recorded in departmental logs.
  • Research and resolve financial discrepancies in a timely manner.
  • Process purchasing transactions, including requisition, receiving, and payment.
  • Review bills upon receipt for accuracy and reasonableness.
  • Research and resolve past due amounts or billing errors.
  • Log consumption and costs in appropriate vendor or departmental records.
  • Prepare and facilitate timely payment to vendors.
  • Lead initiatives to improve inventory effectiveness and efficiency.
  • Assist with purchasing of inventory, including consumables, equipment parts, and supplies for both Maintenance and Housekeeping.
  • Stock and maintain inventory of campus consumables, equipment parts, and supplies.
  • Maintain the physical condition of all MRO Stores locations.
  • Implement new storage scenarios as needed to optimize space and organization.
  • Provide resources and training for accessing and inputting data into the electronic inventory management system.
  • Assist with product evaluation and selection based on departmental needs and resources.
  • Monitor and maintain accurate parts inventory levels.
  • Maintain Safety Data Sheets (SDS) and booklets for campus use to ensure OSHA compliance.
  • Ensure all chemical storage meets requirements of OSHA, OSHR, and OSFM.
  • Conduct quarterly reviews of Facility Services MSDS books for accuracy and completeness.
  • Review departmental root cause analyses to identify organizational failures and corrective actions.
  • Ensure all inventory is properly maintained and distributed in coordination with Facilities Operations, Maintenance, Repair, and Custodial teams.
  • Update TMA (or other CMMS systems) regularly to keep inventory metrics and stock levels accurate.

Primary Purpose of the Organizational Unit

Facilities Operations has the responsibility of providing a wide range of services to the entire UNCG campus. Services include all aspects of corrective and preventive maintenance, operations, grounds maintenance, housekeeping, utility infrastructure maintenance and operations, business operations, safety, regulatory compliance, project management, and renovations. These duties are conducted for a campus consisting of over 100 buildings totaling 6 million gross square feet on over 275 acres.

Position Summary

The MRO Support Associate oversees and manages all Maintenance, Repair, and Operations (MRO) parts, supplies, and consumables, serving as the central hub for shipping and receiving activities that support Facilities Services operations. Maintains a real-time inventory control system using the TMA order management platform to ensure timely response to campus service needs. Responsibilities include inventory data entry, tracking product cost and location, and auditing inventory reports to reflect campus expenditures accurately. Provides logistical support for key Facilities Operations functions such as customer service, work order systems, uniform program administration, and Safety Data Sheet (SDS) compliance.
