Your Role

In this role you will be responsible for maintaining an accurate, organized, and readily available inventory of maintenance, repair, and operations (MRO) parts and supplies. This role coordinates the purchasing, receiving, storage, issuing, and replenishment of parts used to support facility and equipment maintenance.

The coordinator maintains accurate inventory records in the Computerized Maintenance Management System (CMMS), monitors usage and stock levels, performs physical inventory counts, and prepares inventory and purchasing reports. The position works closely with maintenance, operations, purchasing, suppliers, and other internal teams to help ensure that the right parts are available when needed while controlling cost and reducing excess or obsolete inventory.

Responsibilities include but are not limited to:

  • Parts Ordering & Replenishment: Review CMMS data to identify needs, prepare purchase orders, obtain quotes, coordinate with suppliers, expedite emergency spares, and optimize reorder points to lower costs.
  • CMMS Inventory Management: Maintain accurate part records, descriptions, and equipment associations in the CMMS while processing receiving, issuances, transfers, cycle counts, and obsolete stock removals.
  • Receiving, Storage, & Parts Control: Inspect incoming shipments against documentation, report discrepancies, store parts safely in designated bin locations with proper preservation practices and maintain storeroom security.
  • Physical Inventory Counts & Audits: Execute scheduled cycle counts across storage areas, reconcile physical stock against CMMS records, research discrepancies, document root causes, and support audits.
  • Reporting & Data Analysis: Track key operational metrics—including stockouts, inventory accuracy, and order statuses—using MS Excel and Word to generate reports and maintain organized documentation.
  • Maintenance & Stakeholder Support: Partner with maintenance planners, technicians, purchasing, and finance to anticipate parts needs, identify critical spares, and communicate material delays or status updates.
  • Continuous Improvement & Safety: Identify standardization opportunities, streamline storeroom layout, enforce safety and environmental guidelines, and execute initiatives that minimize downtime and lower inventory expenses.
  • Core Professional Competencies: Demonstrate strong data discipline, problem-solving, supplier coordination, planning, inventory accuracy, and proactive communication across all operational duties.
Physical Attributes
  • Lift and carry items weighing up to 60 pounds.
  • Stand, walk, bend, stoop, kneel, reach, climb steps or ladders, and work in storage and maintenance areas.
  • Work in environments that may include noise, dust, temperature variation, machinery, and industrial or maintenance-related conditions while using required personal protective equipment.
Who You Are
Minimum Qualifications
  • High School Diploma or GED.
  • 2+ years’ experience in MRO, maintenance storeroom, warehouse, inventory control, purchasing, or materials management.
  • 2+ years’ experience ordering, receiving, storing, issuing, and tracking maintenance parts or industrial supplies.
Preferred Qualifications
  • Experience supporting manufacturing, laboratory, utilities, facilities, pharmaceutical, chemical, or other industrial maintenance operations.
  • Experience with inventory optimization, cycle counting, critical-spares management, or storeroom organization.
  • Experience with CMMS platforms such as SAP, Maximo, Infor, Fiix, eMaint, or comparable systems.
  • Familiarity with purchase requisitions, purchase orders, supplier management, and basic procurement practices.
  • APICS, warehouse, inventory-management, maintenance-planning, or related training or certification.
  • Mechanical, electrical, instrumentation, facilities, or industrial maintenance knowledge.
  • Proficient with Microsoft Excel, including sorting, filtering, basic formulas, data tracking, and maintaining inventory spreadsheets. Proficient with Microsoft Word for preparing procedures, reports, records, and business correspondence.
