Job summary

Opensity Solutions is seeking an Office Services Associate in New York to support back-office operations, hospitality, mail handling, and reprographics. You will assist with conference room setup, office moves, and daily facilities tasks in a professional environment.

The role emphasizes reliable service, strong communication, and the ability to manage multiple priorities. Schedule is Monday–Friday, 11:00 AM–8:00 PM with a pay rate up to $22.50 per hour.

Qualifications

  • High school diploma or equivalent required.
  • 1+ year of experience in workplace services, facilities support, hospitality, reception, mail services, or related roles preferred.
  • Basic proficiency with office equipment (printers, copiers, scanners) and familiarity with workplace service systems or ticketing platforms is preferred.

Responsibilities

  • Sort, meter, distribute, and track incoming and outgoing mail and accountable packages according to established schedules and procedures.
  • Produce copy, print, and scan services accurately based on written instructions and client requests.
  • Answer incoming telephone calls, route calls to appropriate personnel, and provide professional customer service support.
  • Greet, assist, and announce visitors in a professional and welcoming manner while ensuring proper check-in procedures.
  • Coordinate and maintain conference rooms, kitchens, and common areas to ensure they are clean, stocked, and ready for use.
  • Inspect and refresh meeting spaces, including cleaning surfaces and resetting rooms after use.
  • Manage kitchen and pantry inventory, including stocking supplies and ordering replenishments as needed.
  • Support floor operations, including stocking copy rooms, distributing paper and supplies, and performing basic maintenance tasks.
  • Assist with general facilities support tasks, including hanging items, small office moves, and workspace reconfigurations.
  • Coordinate with internal teams and client contacts regarding facility or equipment-related issues and service needs.
  • Ensure all workplace service areas are maintained in alignment with cleanliness, safety, and service standards.
  • Support continuous improvement of workplace services through proactive identification of operational needs.

Office Services Associate

The Office Services Associate assumes a pivotal role in ensuring the smooth functioning of office operations by delivering comprehensive support services, including back-office support, hospitality, mail handling, and reprographics.

Reporting to the Lead Office Services Associate or the Client Relations Manager, this position bears significant responsibility for maintaining a professional and efficient office environment. This position requires the Associate to action requests for setting up conference rooms including moving furniture and tables for pre-configured set-ups in multi-purpose (MPR) conference rooms. The Associate will also be responsible for actioning office moves and any other office service related tasks such as package delivery, etc.

Schedule: Monday-Friday, 11:00A.M. to 8:00P.M

Pay Rate: Up to $22.50 per hour

Roles & Responsibilities

  • Ability to walk, bend, kneel, stand or sit for an extended period of time.
