Job summary

Franklin Park Alamo Heights in Alamo Heights, TX is seeking a professional Move-In Coordinator to manage the transition process for new residents, coordinate move-in paperwork, deposits and communications with families, and back up the Director of Sales and Marketing as needed.

Alamo Heights, TX. Franklin Park Alamo Heights—offering independent living apartments, assisted living and memory care—is seeking a strong, professional Move-In Coordinator. Starting pay is $15.00/hour.

Schedule: Monday through Friday, 8‑5 pm.

General Description

The Move-In Coordinator reports directly to the Director of Sales and Marketing (DSM) and acts as a backup to that position in handling phone and walk‑in inquiries. The role coordinates the move‑in process and completes paperwork with residents, families, and other responsible parties, and assists the resident/family throughout the transition process.

Primary Duties and Responsibilities
  • Maintain a strong knowledge of the community, its benefits, and the services provided; stay current on unit status and the vacancy map.
  • Maintain knowledge of all communication with prospective residents using the lead management system and follow up on a timely basis with all assigned leads.
  • Ensure that discovery rooms and model apartments are clean, properly furnished and stocked with necessary supplies; address housekeeping and maintenance concerns with appropriate staff.
  • Introduce prospects and family members to employees and other residents, providing opportunities for them to experience the community’s benefits and warmth.
  • Provide the resident or responsible party with all move‑in paperwork and ensure that it is completed and returned within the required timeframe prior to move‑in; process deposits.
  • Work with the Director of Resident Services, Director of Assisted Living or Director of Memory Care to schedule resident assessments as required.
  • Inform all departments of pending move‑ins: date, unit selected, information about the resident(s), etc.
  • Assist the resident and family with the transition process through ongoing communication, sensitivity and reassurance.
  • Maintain and protect the confidentiality of resident information.
  • Complete assigned reports in a neat and timely manner.
  • Work evenings and weekends as necessary to accommodate the schedules of prospects and of move‑ins.
  • Meet the requirements for Manager on Duty and participate in the MOD program.
  • Encourage teamwork and promote the company philosophy.
  • Attend required training and meetings.
  • Be prompt, dependable and able to perform the required duties on a regular, predictable basis.
  • Become familiar with and understand the steps for emergency response, including building evacuation.
  • All employees are responsible for maintaining a safe and secure environment for all community residents.
  • Perform other duties as assigned.
Knowledge, Skills, and Abilities
  • Read, write, speak, and understand English. Bilingual in Spanish is a plus.
  • Possess a passion for working with older adults; be patient and able to work with ill, disabled, or emotionally upset residents and their families and friends.
  • Experience using Microsoft Office and Outlook, and working in a database such as Yardi; strong data entry and typing skills.
  • Communicate effectively with all levels of management, employees, residents, family members, physicians, health care providers, and visitors.
  • Calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, etc.; manage revenue and expense budgets.
  • Know current federal and state laws pertaining to independent living, assisted living, and memory care communities.
  • Make independent decisions.
  • Exhibit a warm, friendly, and caring manner on first impression.
  • Adhere to guidelines related to the Fair Housing Act (FHA) and the Americans with Disabilities Act (ADA) in all aspects of the job, including sales presentations and marketing materials.
Work Experience Requirements
  • Prior experience in the senior sales and marketing environment is preferred.
  • Public relations experience is preferred.
Physical Requirements
  • Stand and/or walk up to 75% of the day.
  • Concentrate with frequent interruptions.
  • Tour through the entire community, up to one mile, occasionally pushing a wheelchair.
  • Occasionally lift/carry up to 50 pounds.
  • Occasionally kneel, bend, and reach.
  • Maintain close vision, depth perception, and ability to adjust focus.
  • Expose to infectious diseases, substances, odors, etc. throughout the workday.
