Job summary

MANNA, a nonprofit organization in Philadelphia, seeks a Distribution Manager to oversee local delivery and statewide meal shipping, supervise Drivers, Packers and volunteers, and manage the vehicle fleet including inspections and maintenance.

The role emphasizes customer service, clear communication with clients and internal teams, and upholding safety and HIPAA standards while ensuring efficient distribution and logistics operations.

Qualifications

• High school diploma or equivalent is required.
• ServSafe Certification is required.
• Minimum two years of experience in volunteer coordination, logistics, or customer service.
• Valid driver’s license with a safe driving record.
• Proficiency with Microsoft Office (Excel, Word) and ability to learn volunteer and delivery software.

Responsibilities

• Oversee daily distribution operations, including local delivery routes and statewide meal shipping.
• Manage routing to ensure efficiency, timeliness, and cost-effectiveness.
• Supervise fleet operations, including vehicle safety, inspections, maintenance, and repairs.
• Develop and enforce safe driving and delivery protocols.
• Hire, train, supervise, and evaluate Distribution staff, including Drivers, Packers, and Associates.
• Oversee volunteer participation in packing operations, ensuring adherence to protocols.
• Maintain ongoing training programs to support operational changes and performance improvement.
• Ensure compliance with safety standards and HIPAA confidentiality requirements.
• Coordinate packing, delivery, and logistics activities to meet organizational standards.
• Serve as point of contact for distribution-related client communication, ensuring timely, professional responses to inquiries.
• Maintain a high standard of customer service, ensuring clients and staff feel supported, valued, and informed.
• Communicate schedules, updates, and operational changes clearly to staff and leadership.
• Maintain accurate documentation of logistics activities, including delivery schedules, fleet operations, and staff performance.
• Track and analyze key performance metrics, including delivery timeliness and packing efficiency.
• Proactively identify operational challenges and implement corrective actions and process improvements.
• Prepare regular reports on KPIs and operational performance for senior leadership.
• Foster a collaborative, accountable, and service-oriented team culture.
• Address operational issues proactively, including delays, vehicle issues, and staffing gaps.
• Provide ongoing coaching and performance feedback to team members.
