Job summary

American Council of Engineering Companies of Michigan is seeking a Member Programs Coordinator to partner with the Executive Director, staff, members, and industry leaders to plan, coordinate, and deliver events, educational offerings, and leadership development initiatives.

The role blends program planning with hands-on event management, MDOT collaboration, and member communications, requiring strong organizational and written skills, plus comfort working with executives and volunteers.

Qualifications

  • Bachelor's degree preferred or equivalent experience in program coordination, event planning, communications, or a related field.
  • Experience coordinating professional events, training, committees, or member programs.
  • Excellent written and verbal communication skills; able to work with executives, agency leaders, and volunteers.
  • Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint), Teams/Zoom, and email marketing or database tools.
  • Familiarity with Michigan's engineering, transportation, or association community is a plus.

Responsibilities

  • Plan, coordinate, and deliver ACEC/Michigan events, educational offerings, and leadership development.
  • Plan MDOT-ACEC/Michigan Partnering Workshop and joint training programs; support PSMJ Bootcamps.
  • Serve as staff liaison for collaborative programming with MDOT, workshops, and committees.
  • Identify training needs with member firms and MDOT; recruit speakers and manage agendas.
  • Provide staff support for ACEC-MDOT committees and task forces; manage materials, minutes, and follow-up.
  • Coordinate event logistics: venues, catering, A/V, conference apps, registration, and day-of management.
  • Keep details current on website, registration platform, and member communications.
  • Secure and manage sponsors, speakers, and volunteers; track budgets and attendance.
  • Serve as a responsive contact for participants and promote ACEC/Michigan offerings.

Job description

The Member Programs Coordinator works closely with the Executive Director, staff, members, and industry partners to plan, coordinate, and deliver ACEC/Michigan events, educational offerings, and leadership development initiatives. This role is central to member value — connecting professional development, agency collaboration, peer networking, and educational programming into a cohesive program calendar.

The Member Programs Coordinator will also assist the Executive Director with management and administration of the ASCE Michigan Section.

Key Responsibilities
Program Planning
  • MDOT-ACEC/Michigan Partnering Workshop and joint training programs
  • PSMJ Bootcamps and other professional development / training offerings
MDOT Partnership Coordination
  • Serve as key staff liaison for collaborative programming with MDOT, including the Annual Partnering Workshop, joint training classes and committee efforts
  • Work with member firms and MDOT to identify training needs, build agendas, and recruit speakers
  • Provide staff support for joint ACEC-MDOT committees and task forces
  • Manage meeting scheduling, agendas, materials, minutes, and follow-up
Event Management and Logistics
  • Coordinate event logistics: schedule, venues, catering, A/V, conference apps, registration, and day-of management
  • Keep event details current across the ACEC/Michigan website, registration platform, and member communications
  • Help secure and manage sponsors, speakers and volunteers for events
  • Track program budgets, attendance, and evaluation metrics
  • Serve as a responsive point of contact for program participants and promote participation in ACEC/Michigan offerings
Education and Experience
  • Bachelor's degree preferred, or equivalent experience in program coordination, event planning, communications, or a related field
  • Experience coordinating professional events, training, committees, or member programs
  • Excellent written and verbal communication skills; comfortable working with executives, agency leaders, and volunteers
  • Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint), Teams/Zoom, and email marketing or database tools.
  • Familiarity with Michigan's engineering, transportation, or association community a plus

Reporting, Schedule and Benefits
  • This is a full-time position and reports to the Executive Director.
  • Schedule includes the ability to work remotely on a hybrid basis, consistent with ACEC/Michigan's Employee Handbook telecommuting policy and subject to approval by the Executive Director. Employees must remain available for all scheduled meetings and events (including those management determines are better suited to in-person attendance), and remote work arrangements may be adjusted based on business needs.
  • Occasional in-state travel and early morning or evening hours are required depending on the program calendar.

Salary range: $60,000-$70,000, commensurate with talent and experience.
