Job summary

The University of Michigan Law School invites applications for the position of Meeting/Special Events Planner to plan and implement events serving faculty, staff, students, and the broader community. This individual will help oversee all of the Law School's academic and special events, including workshops, conferences, commencement, ceremonial, and staff events.

This is a demanding, fast-paced role requiring the highest standards of excellence and attention to detail.

Qualifications

  • Bachelor's degree, or equivalent experience, plus 2-3 years in event planning.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple projects in a fast-paced environment.
  • Excellent written and verbal communication.
  • Strong technology skills and Excel proficiency.
  • Willingness to work evenings and weekends.

Responsibilities

  • Preparing event timelines and budgets; negotiating contracts and coordinating catering, audio/visual, transportation, decor, entertainment, and related services.
  • PCard reconciliation for event-related expenses.
  • Maintaining event files, checklists, and attendance reports for each event.
  • Ensuring sound financial stewardship through careful planning and negotiation of expenses.
  • Providing administrative support for events during pre- and post-production.
  • Collecting and organizing RSVPs, guest lists, dietary preferences, and related details.
  • Liaising with Communications Office to coordinate event marketing materials, web pages, and publicity.
  • Providing oversight of vendor staff during events.

Responsibilities*

Duties may include, but are not limited to, the following operational and logistical responsibilities in support of event production:

  • Preparing event timelines and budgets in accordance with UM hosting policies and procedures; negotiating contracts and coordinating catering, audio/visual services, transportation, decor, entertainment, and similar services
  • PCard reconciliation for event related expenses
  • Maintaining event files, checklists, and attendance reports for each event or program
  • Ensuring sound financial stewardship through careful planning and negotiation of expenses
  • Providing administrative support for events during both pre- and post-production
  • Collecting and organizing RSVPs, guest lists, dietary preferences, and related details
  • Liaising with the Law School's Communications Office to coordinate event marketing materials, web pages, and publicity
  • Providing functional oversight of vendor staff during events
Required Qualifications*
  • Bachelor's degree, or equivalent experience, plus 2-3 years of varied event planning or related experience in the hospitality industry
  • Strong organizational skills and attention to detail, with a demonstrated ability to work independently
  • Proven ability to manage and prioritize multiple projects simultaneously in a fast-paced environment
  • Excellent written and verbal communication skills, with the ability to engage professionally with the public, visitors, faculty, and external units
  • Strong technology skills, including comfort with Microsoft Office (especially Excel), and the ability to learn and strategically apply new applications
  • Outstanding interpersonal skills, a strong customer-service orientation, and a collaborative, team-oriented approach
  • Willingness and ability to work some evenings and weekends
Desired Qualifications*
  • Experience working as an events assistant
  • Demonstrated interest in the legal field or law-related activities
  • Familiarity with University of Michigan policies and procedures, including PCard reconciliation
