The Meeting Event Manager II serves as the primary client liaison and operational lead for assigned programs and events. This role is responsible for the end-to-end planning, coordination, and execution of events, ensuring a seamless experience from initial concept through onsite delivery. Acting as both a strategic partner and team leader, this position drives all aspects of event logistics while maintaining the highest standards of customer service. In addition to program management, the role oversees comprehensive budget ownership—including forecasting, tracking, and managing variations—to ensure successful financial outcomes for both the client and the business.
Responsibilities
- Program & Event Management (40%)
- Leads the planning and execution of assigned programs and events by outlining deliverables, developing comprehensive project timelines and budgets, and managing all logistical elements.
- Oversees supplier relationships and contracts across hotel, AV, general service contractors, DMC, air travel, and other third-party vendors.
- Ensures adherence to attrition dates, cancellation policies, and contracted service agreements.
- Coordinates and attends site inspections to confirm program logistics.
- Partners with clients and internal stakeholders through working sessions to align on needs, expectations, and objectives.
- Communicates client vision clearly to internal teams for seamless execution.
- Financial Oversight & Supplier Management (20%)
- Manages all financial aspects of assigned programs, including tracking expenses, providing forecasts, and ensuring profitability.
- Oversees supplier negotiations, contract terms, and service agreements through RFPs and bid analyses.
- Initiates supplier payments, client invoices, and project change orders.
- Partners with accounting for final billing and tracks all financial changes.
- Ensures programs are delivered within budget and meet profitability margins.
- Client Relationship & Team Leadership (20%)
- Serves as the primary day-to-day contact for clients, fostering positive relationships.
- Works closely with clients to understand and achieve program objectives.
- Leads cross-functional project teams through development, production, and QA.
- Maintains project documentation and event specifications.
- Conducts regular status meetings with clients and stakeholders.
- Provides clear direction to team members to ensure goal alignment.
- Onsite Program Execution & Strategic Support (20%)
- Provides onsite leadership during events to ensure flawless execution.
- Oversees onsite logistics, manages issues in real-time, and maintains client and team expectations.
- Leads onsite teams and third-party partners to uphold service standards.
- Manages VIP logistics and high-touch experiences.
- Supports proposal development and program renewals with strategic input.
- Utilizes destination and hotel expertise to enhance program design.
- Develops budgets for new and renewal business and executes program agreements.
Qualifications
- Bachelor's degree or equivalent experience required.
- Minimum 3+ years of experience in meeting/event planning, hotel catering, or related fields; international hotel destination knowledge a plus.
- Strong knowledge of program management and budgeting, with financial forecasting experience.
- Proven success in developing and maintaining client relationships.
- Excellent oral and written communication skills.
- Ability to handle multiple projects simultaneously.
- Proficient in Microsoft Office and quick to learn new technology.
- Willingness to travel up to 30% of the time.
