Southern Ohio Medical Center is seeking a Medical Staff Services Assistant in the Medical Staff Services department to perform general secretarial duties and assist with provider enrollment. The role operates under the Administrative Director of Medical Staff Services and involves handling confidential material and coordinating calendars and meetings.

Qualifications

  • High school diploma is required.
  • Performs general secretarial duties for the Medical Staff Services department and assists with the provider enrollment process.

Responsibilities

  • Types, proofs, and edits department correspondence (confidential).
  • Open, screen, prioritize, and distribute mail.
  • Answer, screen, and refer calls and visitors; respond to inquiries with proper documentation.
  • Oversee ordering/stocking of department office supplies.
  • Prepare monthly or quarterly reports.
  • Maintain department records, files, and manuals.
  • Schedule department meetings.
  • Maintain records including physician contracts, CME, credential files, malpractice information and provider applications.
  • Arrange meetings and travel; maintain calendars for Physicians Services and Foundation physicians.
  • Serve as backup to the Provider Enrollment Coordinator.
  • Assist Medical Staff Services and Medical Education as needed.

GENERAL SUMMARY

Works under the supervision of the Administrative Director of Medical Staff Services. The Medical Staff Services Assistant's primary job function is to perform general secretarial duties for the department and assists with the provider enrollment process. Performs other duties as assigned.

QUALIFICATIONS
Education
  • High School Diploma or successful completion of an equivalent High School Exam Required
JOB SPECIFIC DUTIES AND PERFORMANCE EXPECTATIONS

The following is a summary of the major job duties of this job. Other duties may be performed, both major and minor, which are not mentioned below. Specific activities may change from time to time.

  1. Types, proofs, and edits department correspondence (i.e., memos, letters, minutes). Correspondence is frequently confidential.
  2. Open, screens, prioritizes, and distributes incoming mail.
  3. Answers, screens, and refers incoming calls and visitors and responds to general inquiries with proper documentation (i.e., messages).
  4. Oversees ordering/stocking of department office supplies.
  5. Prepares various reports as required (i.e., monthly or quarterly reports).
  6. Maintains department-related record, files, and manuals.
  7. Schedules meetings for department as required.
  8. Develops, implements, and maintains record keeping and filing system, handles significant volumes of confidential information including physician contracts, continuing medical education, credential files, malpractice information and provider application files.
  9. Arranges meetings and conferences, completes travel arrangements for Physicians Services Department and all Foundation physicians. Maintains personal calendars.
  10. Serves as the backup to the Provider Enrollment Coordinator.
  11. Assists the Medical Staff Services and Medical Education departments as needed.
