Job summary

Alaska Gardens Health and Rehabilitation Center in Tacoma, WA, is seeking a Medical Records / Transportation Assistant to manage medical records, coordinate resident transportation, and support admissions. This role emphasizes organization, accuracy, and customer service in a healthcare setting.

Qualifications

  • High School diploma or equivalent.
  • Valid driver's license with an acceptable driving record.
  • Ability to safely operate facility vehicles.
  • Strong organizational, communication, and customer service skills.
  • Proficiency with Microsoft Word and other computer applications.
  • Prior experience working in a long-term care facility, medical office, healthcare setting, or knowledge of medical terminology is preferred.
  • Experience with PCC is a plus.

Responsibilities

  • Maintain resident records in proper order per open chart format.
  • Evaluate requests for information from medical records to assure releases are made only in compliance with state and federal laws.
  • Maintain forms at the nursing station as needed.
  • Audit charts on an ongoing basis for MDS completion, summaries, weights, vital signs, physician orders, and other required documentation.
  • Retrieve records when requested by medical staff or other authorized persons. Track records that have been pulled and ensure proper re-filing upon return.
  • Follow and adhere to policies and procedures implementing HIPAA requirements for the privacy and security of protected health information.
  • Schedule resident transportation for medical appointments and other approved destinations.
  • Coordinate follow-up appointments with hospitals, physicians, specialists, and other healthcare providers.
  • Assist with admissions-related tasks, including communication and coordination with referral sources and hospitals.
  • Utilize PCC, Microsoft Word, and other computer applications to maintain accurate records and schedules.
  • Transport new admissions from the hospital and residents to appointments as needed, following all company policies and safe driving practices.
  • Provide excellent customer service to residents, families, vendors, and healthcare partners.
  • Perform other administrative duties as assigned.

Medical Records / Transportation Assistant

Alaska Gardens Health and Rehabilitation Center is seeking a Medical Records / Transportation Assistant who is responsible for medical records through preparation, compilation, analysis, maintenance, and filing, while also coordinating resident transportation and appointments. The ideal candidate will maintain a well-organized system of closed and open medical records so that records are available to interdisciplinary personnel as needed for resident care. This role is ideal for someone who is organized, customer service-oriented, comfortable working in a healthcare setting, and able to manage multiple responsibilities.

In addition to medical records functions, this position will assist with transportation scheduling, appointment coordination, admissions support, and resident transportation as needed.
