Job summary

Pediatric Associates Family of Companies in Wellington, FL is seeking a friendly Medical Receptionist to welcome patients and visitors, collect information, and manage payments with professionalism. The role supports patient flow and requires basic clinical office knowledge.

The position emphasizes confidentiality, excellent communication, and a patient-first approach. A minimum of 1 year in a medical office is preferred, and a valid driver's license is required.

Qualifications

• A minimum of 1 year experience in a medical office setting preferred.
• Upon hire, and for the duration of the employment period, a driver’s license must be active and valid.
• Ability to learn & practice Pediatric Associate procedures, policies, and protocols.
• Requires proficient grammar, spelling, and verbal skills to communicate with patients, providers, and staff in written documents.
• Knowledge of computer and medical terminology desired.
• Interact effectively, support staff & maintain a professional working relationship.
• Provide excellent customer service; greet & receive patients/ visitors in a professional and friendly manner.
• Maintain professional and excellent phone skills & etiquette, must be able to speak clearly and concisely.
• Use good judgment & maintain patient confidentiality.
• Must be able to file alpha and numerically.
• Requires experience in using a computer system, scanner, printer, fax etc.

Responsibilities

• Check-in patients upon arrival, update demographics, insurance information, PCP, pharmacy, collect co-pays and patient balances, and provide consents for signature as well as health questionnaires.
• Check out patients, collect additional balances, provide visit summaries, specialist referral information, patient portal information, completed forms, and follow-up appointments.
• Verify patient insurance through Batch Eligibility or on demand; contact patients if insurance is inactive or PCP not appropriate.
• Post-patient charges and payments; complete charge and payment reconciliation.
• Scan and upload documents through the Document Management system.
• Sort and deliver mail and PA documents; maintain a clean work area and patient waiting area.
• Participate in staff and educational meetings.

Monday-Friday 7:45 am-11:45 am

Every other Saturday 7:30 am-12:00 pm

Location: Wellington

PRIMARY FUNCTION

Serves patients and visitors by greeting them in a friendly and welcoming manner as they arrive at our offices. Completes and updates all required information, collects payments, and provides other information as requested. Discharges patients after their appointment, providing them with any pertinent information as well as follow-up appointments.

ESSENTIAL DUTIES AND RESPONSIBILITIES

This list may not include all the duties that may be assigned.

1. Check-in patients upon arrival, which includes updating demographics, insurance information, PCP, pharmacy, collecting co-pays and patient balances, and providing consents for signature as well as appropriate health questionnaires.
2. Check out patients, collect additional balances, provide visit summaries, specialist referral information, patient portal information, completed forms, and follow-up appointments.
3. Verify patient insurance through Batch Eligibility or on demand. Contact patients whose insurance is not active, or PCP is not appropriate.
4. Post-patient charges and payments. Complete charge and payment reconciliation.
5. Scan and upload documents through the Document Management system.
6. Sort and deliver mail and PA documents received by courier. Maintain a clean work area and patient waiting area.
7. Participate in staff and educational meetings.

QUALIFICATIONS

EXPERIENCE:

• A minimum of 1 year experience in a medical office setting preferred.
