Job description

Job Summary:

The Practice Coordinator is responsible for managing the front office daily activities at their practice location, ensuring quality customer service to in-person and remote patients and clinicians.

Duties/Responsibilities:
Operational Excellence:
  • Create a positive work environment; support in-office clinician and staff engagement activities to promote LFST culture, engagement, and connection.
  • Conduct schedule prep for all patients, ensuring paperwork, documentation, credit card on file, demographics, and patient charts are complete and accurate.
  • Maintain general office duties, cleanliness, and appeal, including sorting mail, scanning documents, managing e-faxes, shared email, and office upkeep.
  • Communicate effectively with peers, clinicians, and patients to support patient care and clinician satisfaction.
Patient Support:
  • Provide exceptional customer service, responding promptly and appropriately to patient needs, and managing sensitive situations following Crisis and De-escalation protocols.
  • Manage front desk responsibilities, including greeting and checking patients in/out courteously.
  • Support patients via phone, email, or portal with payments, billing, scheduling, release requests, and inquiries.
  • Manage phone queues to ensure timely responses.
  • Assist patients with telehealth access, Patient Portal issues, and troubleshooting.
  • Handle urgent requests, triage patient issues, and escalate when necessary.
  • Collect co-payments and account balances at the time of service.
  • Verify insurance eligibility and resolve related issues with patients.
Clinician Support:
  • Assist clinicians with administrative questions and duties, such as sending letters and faxes.
  • Coordinate with clinicians regarding patient questions.
  • Audit clinician schedules for appointment accuracy.
  • Maintain a secure, positive, and motivating work environment.
Required Skills/Abilities:
  • Ability to multitask and prioritize effectively.
  • Work independently and collaboratively.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office and EMRs.
  • Handle sensitive and confidential information per HIPAA regulations.
Education and Experience:

High School diploma or equivalent required; associate's or bachelor's degree preferred. 1+ years of experience in healthcare operations, customer service, or similar roles preferred.
