Job Summary:
The Practice Coordinator is responsible for managing the front office daily activities at their practice location, ensuring quality customer service to in-person and remote patients and clinicians.

Duties/Responsibilities:
Operational Excellence:
- Create a positive work environment; support in-office clinician and staff engagement activities to promote LFST culture, engagement, and connection.
- Conduct schedule prep for all patients, ensuring paperwork, documentation, credit card on file, demographics, and patient charts are complete and accurate.
- Maintain general office duties, cleanliness, and appeal, including sorting mail, scanning documents, managing e-faxes, shared email, and office upkeep.
- Communicate effectively with peers, clinicians, and patients to support patient care and clinician satisfaction.
Patient Support:
- Provide exceptional customer service, responding promptly and appropriately to patient needs, and managing sensitive situations following Crisis and De-escalation protocols.
- Manage front desk responsibilities, including greeting and checking patients in/out courteously.
- Support patients via phone, email, or portal with payments, billing, scheduling, release requests, and inquiries.
- Manage phone queues to ensure timely responses.
- Assist patients with telehealth access, Patient Portal issues, and troubleshooting.
- Handle urgent requests, triage patient issues, and escalate when necessary.
- Collect co-payments and account balances at the time of service.
- Verify insurance eligibility and resolve related issues with patients.
Clinician Support:
- Assist clinicians with administrative questions and duties, such as sending letters and faxes.
- Coordinate with clinicians regarding patient questions.
- Audit clinician schedules for appointment accuracy.
- Maintain a secure, positive, and motivating work environment.
Required Skills/Abilities:
- Ability to multitask and prioritize effectively.
- Work independently and collaboratively.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office and EMRs.
- Handle sensitive and confidential information per HIPAA regulations.
Education and Experience:
High School diploma or equivalent required; associate's or bachelor's degree preferred. 1+ years of experience in healthcare operations, customer service, or similar roles preferred.
