Qualifications

  • Knowledge of insurance processes and HIPAA regulations is essential.

Responsibilities

  • Welcomes and greets patients/visitors in a helpful manner.
  • Properly checks in all patients following clinic procedures and HIPAA requirements.
  • Verifies insurance and informs patients of any balances noted in EMR a week prior to appointment.
  • Obtains payment for in office visits and documents all financial transactions accordingly.
  • Sets up approved patient payment arrangements and tracks them for accuracy.
  • Performs day-to-day administrative functions including copying, filing, faxing, and data entry.
  • Adheres to clinic policies on safety, security, and confidentiality of computer systems.
  • Maintains HIPAA privacy compliance and related protocols.
  • Handles patient complaints with problem-solving and redirects to appropriate staff.
  • Maintains waiting areas, offices files, and front-desk areas orderly.
  • Receives mail and packages and distributes to staff as needed.
  • Attends scheduled department meetings and performs related duties as required.

Job description

The Medical Receptionist is the "face" of the company for all visitors. This position ensures all clerical duties are properly followed in accordance to clinical policies and procedures.

Ensuring patient confidentiality is upheld to clinic and HIPAA standards. While always fostering an environment which promotes patient comfort and trust.

Duties and responsibilities
  • Welcomes and greets patients/clients/visitors in a manner that is helpful.
  • Properly checking in all patients following the clinic procedures and HIPAA requirements.
  • Verifies insurance and informs patients of any existing balances noted in the EMR systems a week prior to the patient's scheduled appointment.
  • Obtains payment for in office visits and properly documents all financial transactions to adhere to clinic standards.
  • Sets up via approved patient payment arrangements; tracks and monitors all patient payment arrangement to ensure accuracy and full payment.
  • Performs day-to-day administrative functions and general office duties including but not limited to copying, filing, faxing, and data entry.
  • Adheres to all clinic policies on safety and security; keeps computer system passwords strictly confidential.
  • Adheres to privacy protocols in accordance to clinic policies and procedures and HIPAA requirements.
  • Exercises problem-solving and conflict resolution skills when handling patient complaints; refers patient complaints to appropriate designated personnel.
  • Maintains patient waiting areas, office files, and front-desk areas in a manner that is organized.
  • Receives all incoming mail and packages and distributes to the appropriate personnel.
  • Attends scheduled department staff and clinical meetings as instructed.
  • Performs additional related duties as needed.

Working conditions
  • Operates computers, scanners, telephones, and additional office equipment.
  • Work a full 10-hour shift in an office medical setting beginning at 6:30AM
  • Must wear appropriate dress code attire in accordance to company policy and procedures.
  • Able to sit and stand for long periods of time.
  • Minimal lifting required with maximum of 50 lbs.
