Summary / Description

NOTE: Refer to Medical Office Assistant Scope of Practice addendum, attached.

Under general supervision, and according to established policies and procedures, performs duties of a Medical Assistant and Patient Services Assistant in the assigned area. Greets visitors, registers patients, contacts insurance providers, and schedules patients as per guidelines. Assists physicians or physician extenders with patient examinations by preparing exam rooms, taking vital signs, assisting during exams, etc.

  • Greets visitors, answers phones, and directs calls and visitors appropriately.
  • Registers patients for outpatient services, collecting demographic, insurance, and related data.
  • Contacts insurance providers to verify benefit levels and patient co-pays, as needed. Collects and posts payments, and prepares daily deposits.
  • Prepares patient charts before appointments, files notes, prescriptions, and other documentation, and handles medical record releases as needed.
  • Assists physicians with patient exams by preparing rooms, helping position patients, handling instruments, etc.
  • Records vital signs such as temperature, blood pressure, and weight. Documents reasons for visit and vital signs in the patient’s chart.
  • May perform procedures like administering non-intravenous injections, venipuncture, EKGs, stress tests, routine x-rays, PFTs, among others.
  • Obtains referrals and schedules appointments or procedures following guidelines.
  • Enters, reviews, researches, and corrects patient billing records; communicates with billing companies regarding payments and rejections.
  • Performs support tasks such as preparing lab slips, statistical data, correspondence, and training new staff.
  • Adheres to safety policies and participates in safety training, including CPR and annual safety courses.

Skills Required

  • Analytical skills to handle patient issues, verify insurance, research billing problems, and compile statistical data.
  • Interpersonal skills for effective communication with patients, physicians, and staff.
  • Ability to handle mental/visual strain from tasks like payment posting and insurance review.
  • Knowledge of blood pressure measurement techniques.

Minimum Qualifications

  • High school diploma or GED.
  • Graduation from a practical nursing school or
  • Completion of one of the following programs or experiences:
    • PCA/PCT Program
    • Nurse Assistant Program or equivalent
    • Medical Assistant Program or six months of relevant experience
    • EMT certification
    • Phlebotomy training with six months of direct patient care (preferred)
  • One year of experience as a Medical Assistant or Patient Care Associate.
  • One year of clerical experience in a medical setting, including insurance verification, authorizations, billing, and EMR use.
  • Medical Assistant certification is preferred.
