Job summary

Neolytix is seeking a Medical Licensing Specialist in Chicago, IL to obtain, renew, maintain, and update professional licenses, DEA registrations, and related credentials for physicians and providers.

The role maintains accurate records, monitors expirations, and coordinates with state licensing boards, providers, and internal teams to ensure compliance with federal, state, payer, and organizational standards.

Qualifications

  • Proven expertise in medical licensing with 1+ years of hands-on experience.
  • Experience preparing, submitting, and tracking initial and renewal state medical licenses, DEA registrations, and board certifications across multiple states.
  • Proven ability to maintain accurate provider files, monitor expiration dates, and conduct primary-source verifications through official government databases.
  • Strong communication skills to liaise with clinicians, state medical boards, legal counsel, and internal operations to resolve licensing roadblocks and elevate compliance risks.
  • Proficiency in tracking licensing turnaround times, generating compliance reports, and updating credentialing systems and SOPs.

Responsibilities

  • Prepare, submit, track, and follow up on initial and renewal medical-license applications across applicable states
  • Maintain provider records, including medical licenses, DEA registrations, NPI information, controlled-substance permits, board certifications, and malpractice documentation
  • Monitor expirations and send advance renewal alerts to providers and internal stakeholders
  • Verify licenses and sanctions through primary-source verification and applicable government databases
  • Coordinate with physicians, advanced practice providers, medical boards, credentialing vendors, legal counsel, and internal operations teams to resolve application issues
  • Ensure provider files meet organizational policies and accreditation, payer, and regulatory standards
  • Track licensing status and turnaround times; prepare periodic compliance and renewal reports
  • Maintain confidentiality and data accuracy in credentialing systems and shared records
  • Escalate potential license lapses, disciplinary actions, restrictions, or compliance risks promptly
  • Support audits, payer enrollment, privileging, and credentialing activities as assigned
  • Continuously document and improve licensing workflows, templates, and standard operating procedures
