Pediatrics of Texas is seeking a friendly Front Desk Receptionist to be the welcoming face and voice of the clinic. You will greet families, verify demographics and insurance, and manage the check-in/check-out process in a fast-paced pediatric environment.

You will schedule appointments, answer multi-line phones, collect co-pays, and assist with basic billing information while supporting staff and ensuring accurate patient records in the EHR.

Qualifications

This crucial role ensures a positive patient experience from the moment they walk through the door.

Key Responsibilities
  • Patient Check-In/Out:Warmly greet patients and their guardians upon arrival, verify demographic and insurance information, and complete the check-out process efficiently.
  • Schedule Management:Schedule, reschedule, and confirm patient appointments using our electronic health record (EHR) system, managing the physician's calendars effectively.
  • Communication Hub:Answer multi-line phones with patience and professionalism, directing calls to nurses, physicians, or billing staff as appropriate.
  • Billing & Insurance:Collect co-pays, process payments, and provide basic information regarding insurance verification and billing procedures.
  • Confidentiality:Maintain strict adherence to HIPAA guidelines regarding patient privacy and the confidentiality of medical records.
  • Office Environment:Ensure the waiting room is clean, safe, and child-friendly. Manage incoming faxes, mail, and general office supplies inventory.
  • Administrative Support:Assist clinical staff with administrative tasks and manage patient forms and documentation accurately.
Qualifications and Skills
  • Experience:Proven experience in a medical office, hospital, or clinical setting is highly preferred. Previous front desk or customer service experience is required.
  • Software Proficiency:Familiarity with Electronic Health Record (EHR) software (e.g., Epic, Cerner, or specific pediatric systems) is a major plus. Proficiency in standard office software (MS Office, email, scheduling tools) is essential.
  • Interpersonal Skills:Exceptional customer service skills with the ability to remain calm and empathetic when dealing with sick children, worried parents, and stressful situations.
  • Organizational Skills:Strong attention to detail, highly organized, and capable of managing multiple priorities simultaneously.
  • Education:High school diploma or equivalent required. Medical administrative assistant certification is a plus.
