Job summary

Northwestern Medicine is seeking an Education Coordinator to support the mission by overseeing the operational and financial management of accredited/ non-accredited medical education training programs. Under the Program Director, you will manage databases, schedules, and communications with faculty and trainees across fellowship, residency, and clerkship tracks.

You will coordinate recruiting activities, track trainee progress, prepare for site visits, and ensure regulatory compliance.

Qualifications

• Bachelor’s degree or appropriate combination of education and experience.
• One year experience in program/project administration or relevant.
• Previous program administration experience in undergraduate or graduate medical education.

Responsibilities

• Administration: Provide support and meet with the program director; maintain trainee and faculty databases; develop and distribute schedules.
• Budgets & Financial: Develop, monitor, and report on the yearly training program budget; handle PO processing and billing; assess equipment and training needs.
• Communication, Outreach & Recruitment: Manage match responsibilities; oversee recruitment processes and external program advertising.
• Evaluation: Facilitate evaluative processes for trainees, faculty, and rotations; suggest workflow improvements.
• Human Resources: Oversee trainee orientation and onboarding; verify trainee status; process visa paperwork.
• Program Development: Assist in accreditation site visits and policy development; understand curriculum and standards.
• Regulatory Compliance: Track and ensure compliance with licensing, contracting, and credentialing requirements.
• Trainee Support: Supervise trainees; coordinate rotations and observerships; liaison with departments and external hospitals.
• Supervision: Provide administrative supervision to trainees; guide new coordinators; arrange temporary staff as needed.
• May perform other duties as assigned.
