Job summary

Cincinnati Animal CARE is seeking a Medical Coordinator to join our team and support CAC’s mission. In this role you will act as the operational hub of the medical department, coordinating patient flow, daily priorities, medical logistics, and departmental systems to ensure efficient workflow and exceptional patient care.

You will work closely with veterinarians and medical staff across teams to balance compassionate care with accountability, implement process improvements, and maintain accurate

Qualifications

  • Preferred minimum two years of experience in veterinary medicine, shelter medicine, or a related field.
  • Registered Veterinary Technician (RVT/LVT/CVT) preferred or equivalent clinical experience.
  • Strong understanding of veterinary workflow, patient care, disease prevention, and medical operations.
  • Demonstrated ability to coordinate multiple priorities in a fast-paced environment.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to anticipate operational needs and implement effective solutions.

Responsibilities

  • Coordinate daily workflow and patient movement throughout the medical department.
  • Prioritize medical cases and adjust workflow based on patient needs and department demands.
  • Coordinate daily assignments and operational priorities for medical staff.
  • Identify workflow challenges and implement real-time solutions to maintain efficiency.
  • Foster medical appointments, community veterinary support appointments, hospitalised patient care, and other medical operations.
  • Coordinate medical supply inventory and ordering, maintain equipment readiness and clinic organization.
  • Develop and maintain systems that improve efficiency, communication, and consistency.
  • Identify operational gaps and recommend process improvements.
  • Assist with implementation of new medical protocols and departmental initiatives.
  • Coordinate communication between veterinarians, medical staff, admissions, behavior, foster, surgery, and animal care teams.
  • Coordinate outside laboratory, referral, and specialty services as needed.
  • Reinforce compliance with OSHA, DEA, disease control, sanitation, and shelter medical protocols.

About the Role

We are looking for a Medical Coordinator to join our team and play an important role in supporting CAC’s mission.

In this position, you will:

  • Ensure efficient workflow, exceptional patient care, and operational excellence
  • Serve as the operational hub of the medical department, coordinating patient flow, daily priorities, medical logistics, and departmental systems

What You’ll Be Responsible For

Your day-to-day may include:

Daily Medical Operations
  • Coordinate daily workflow and patient movement throughout the medical department.
  • Prioritize medical cases and adjust workflow based on patient needs and department demands.
  • Coordinate daily assignments and operational priorities for medical staff.
  • Identify workflow challenges and implement real-time solutions to maintain efficiency.
Medical Program Coordination

Coordinate daily operations for:

  • Foster medical appointments
  • Community veterinary support appointments
  • Hospitalized patient care
  • Shelter Animal Medical Care
  • Isolation and infectious disease workflow
  • Humane investigation medical support
  • Medical volunteer and student activities
Administrative & Inventory
  • Coordinate medical supply inventory and ordering.
  • Maintain equipment readiness and clinic organization.
  • Process supply requests and assist with expense tracking.
  • Maintain accurate medical records and operational documentation.
  • Coordinate outside laboratory, referral, and specialty services as needed.
Workflow & Process Improvement
  • Develop and maintain systems that improve efficiency, communication, and consistency.
  • Identify operational gaps and recommend process improvements.
  • Assist with implementation of new medical protocols and departmental initiatives.
  • Support departmental goals through data tracking and operational organization.
Communication & Collaboration
  • Coordinate communication between veterinarians, medical staff, admissions, behavior, foster, surgery, and animal care teams.
  • Serve as a central point of coordination for daily medical operations.
  • Communicate with external veterinary partners regarding referrals, appointments, and patient transfers.
  • Promote collaboration and timely communication across departments.
Quality & Safety
  • Reinforce compliance with OSHA, DEA, disease control, sanitation, and shelter medical protocols.
  • Help maintain a clean, organized, and safe medical environment.
  • Support quality improvement initiatives and consistent medical documentation.
Clinical Support
  • Assist veterinary staff with animal handling, treatments, diagnostics, procedures, and emergency response as needed.
  • Supporting additional organizational needs as they arise

  • Pay: Minimum pay of $21.31 after a successful 90 day training period. $19.90 during the training period.

Working Conditions / Physical Requirements
