Job description

Summary:
Reports to the Ambulatory Clinical Manager and/or Practice Manager or other assigned Supervisory personnel and functions under the general supervision of the attending Licensed Independent Practitioner. Performs in accordance with established policies and procedures in an Ambulatory setting. All essential functions reflect the age-specific needs of geriatric, adult, adolescent, and pediatric patients. Fosters patient and family-centered care in alignment with Brown University Health's mission, vision, and values, considering all developmental stages and cultural patterns.

Responsibilities:

  1. Works effectively and respectfully within their training and capabilities.
  2. Follows clinic or office workflow protocols to maximize quality and efficiency.
  3. Performs pre-visit planning by reviewing and updating patient records, recent test results, correspondence, etc., and determines needed services based on protocols. Communicates reminders to providers via EMR.
  4. Greets patients, performs registration, answers phones, schedules appointments, obtains referrals and authorizations, processes forms, and manages discharge procedures.
  5. Oversees patient financial transactions ensuring payments are obtained and processed correctly.
  6. Verifies completeness and accuracy of patient information, including demographics, referrals, billing codes, diagnoses, etc.
  7. Provides clerical support and serves as a resource to new employees regarding department policies and procedures.
  8. Prepares patients for examinations, takes vital signs, records information, and notes health concerns in EMR.
  9. Ensures smooth patient flow throughout the clinic.
  10. Reviews and performs health maintenance and chronic illness services per protocols.
  11. Performs point-of-care testing procedures such as blood pressure, EKG, glucose, urinalysis, etc.
  12. Records allergy, medication, medical, surgical, and family histories; initiates pharmacy benefits verification.
  13. Assists physicians with examinations and procedures using aseptic techniques.
  14. Administers vaccines and PPDs as per protocol.
  15. Completes follow-up work, ensuring lab specimens are labeled, recorded, and sent to labs; tracks results and updates EMR.
  16. Follows up on referrals and tracks reports, ensuring EMR updates and patient outreach.
  17. Checks for pending prescriptions and ensures exam rooms are cleaned and prepared.
  18. Provides patient education on tests, procedures, and care coordination; documents barriers.
  19. Schedules tests and follow-ups, pre-registers patients, verifies demographics and insurance, and obtains prior authorizations.
  20. Monitors and orders supplies, maintains equipment, and reports issues.
  21. Supports administrative duties, including mailing reminders and managing time effectively.
  22. Maintains safety, quality, infection control, and patient confidentiality standards.
  23. Engages actively in team-based patient care and supports the patient-centered medical home model.
  24. Performs other related duties as required.

Other information:

BASIC KNOWLEDGE:

  • High School diploma or equivalent required.
  • Ability to read, write, and speak English.
  • Basic Life Support Certification required.
  • Medical assistant certification preferred.

EXPERIENCE:

  • Graduate of a formal medical assistant training program or a minimum of 3 years of medical assistant experience required.
  • Exceptions may be considered for related roles such as LPN, medical student, EMT, paramedic, etc., with at least three years of experience.

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:

  • Work in healthcare settings with direct patient contact and medical equipment.
  • Potential hazards minimized by safety procedures.
  • Requires walking, standing, lifting up to 50 pounds, and exposure to electrical hazards.
