Job description

The Medical Assistant/Surgical Coordinator works under the direct supervision of the Practice Manager and/or Registered Nurse (RN) to perform a variety of administrative, clinical, departmental support, and documentation duties to promote the health, safety, and comfort of patients and families.

Responsibilities
  • Schedule all surgeries and necessary services; coordinate bookings through families, physicians, and the OR.
  • Initiate surgical booking requests, schedule pre‑op physicals, and arrange specialty consultations.
  • Complete and submit forms/requisitions; confirm insurance information and obtain pre‑authorization/authorization.
  • Retrieve referral and pre‑certification documents; provide letters of medical necessity and pre‑claim forms to insurance companies.
  • Discuss financial responsibility with families, collect payments, and submit surgical billing for review.
  • Support patient check‑in and check‑out processes; schedule and coordinate appointments.
  • Answer and direct calls; manage pre‑authorizations and pre‑certifications.
  • Prepare and file medical records; maintain clinical files per protocol; process patient correspondence.
  • Maintain patient confidentiality in compliance with policy.
  • Ensure efficient patient flow; prepare treatment rooms and equipment.
  • Perform initial patient intake, record vital signs and allergy information, and update patient records.
  • Conduct daily quality controls for point‑of‑care testing; perform specimen collection and record results.
  • Track and retrieve lab/diagnostic testing results under provider or RN direction.
  • Assist with prescription renewal processes as directed.
  • Provide cross‑coverage for administrative and clinical roles as needed.
  • Support departmental medical record audits; clean and restock patient care rooms and supplies.
  • Maintain inventories of medical supplies and related forms.
  • Report equipment breakdowns or damages to the Practice Manager promptly.
  • Ensure all documentation is accurate, legible, and within MA scope and organizational guidelines.
Other Related Activities
  • Perform additional duties assigned to promote health and comfort of patients and families.
  • Travel to satellite locations when required.
  • Apply knowledge of age‑related differences and cultural sensitivity in interactions with patients/families.
  • Recognize safety needs; understand basic infection control and risk management.
  • Seek clarification when tasks fall outside the MA and Surgical Coordinator scope.
  • Support the organization’s mission, vision, values, and goals through consistent behaviors.
  • Understand CT Children’s policies and procedures; comprehend the organization’s environment of care.
Special Considerations

Medical Assistants hired as float staff or exclusively for satellite locations must demonstrate flexibility and mastery of documentation, procedures, and workflow across departments to maximize patient support.

Qualifications
  • Education: High School Diploma, GED, or equivalent; vocational training may substitute (e.g., Medical Assistant training approved by AMT or similar, Certified Nursing Assistant Program with Connecticut certification preferred, or a current BSN nursing student with two years of study and a Fundamentals of Nursing course).
  • Experience: No prior experience required.
