Job summary

Westside Family Healthcare is seeking a Supervisor to lead the Medical Assistant team on the clinical floor. This role coordinates care, oversees patient records, and supports the team to adhere to Westside's standards and procedures.

It requires MA certification, BLS/CPR, and several years of MA experience in ambulatory settings. The Clinical Floor Supervisor will work with the Nurse Manager to manage vaccines, inventory and QA activities, while performing MA duties when needed.

Qualifications

  • High school diploma or GED.
  • Successful completion of a medical assistant training program.
  • At least 5 years of experience as a medical assistant.
  • Current Medical Assistant certification from a recognized body.
  • Current BLS/CPR certification.
  • Experience with EMR software and Microsoft Office.

Responsibilities

  • Direct daily activities of the Medical Assistant staff and ensure tasks meet standards.
  • Resolve coverage issues for absences.
  • Support MA orientation and ongoing training; enforce workflows.
  • Maintain vaccine and supply inventory; serve as main contact for programs.
  • Participate in quality improvement initiatives and sustainability.
  • Ensure daily point-of-care testing per manufacturer guidance.
  • Oversee equipment testing and report non-functional items.
  • Complete MA timesheets and performance documentation as needed.
  • Recruit, interview, and train new MA team members.
  • Coordinate with nurse/manager on MA issues.
  • Perform MA duties as defined in the MA job description.
  • Maintain MA certification and CPR/BLS certification.

The MA Supervisor, (Clinical Floor Supervisor) (CFS) coordinates and supervises the care provided by a designated group of Medical Assistants (MAs), ensuring that they adhere to Westside's standards and procedures in all aspects of their work. The CFS may also assess patient health problems and needs, maintain medical records, advise patients on health maintenance and disease prevention, coordinate with other members of the patient care teams and act as a clinical resource for the team.

Core Responsibilities

The Clinical Floor Supervisor is responsible for oversight of the Medical Assistant team with responsibilities including:

  1. Direct the daily activities of the Medical Assistant staff, including the assignment and completion of tasks, quality oversight and readiness, and preparation. Ensure work is completed efficiently and in accordance with Westside's standards, policies, and procedures. Delegate tasks to MAs as appropriate.
  2. Resolve coverage issues related to scheduled and unscheduled absences.
  3. Provide support to site MA team, including supporting orientation and ongoing training when needed, and continuously practicing, enforcing, and educating the MA team regarding workflows and workflow changes resulting from the addition or revision of policies and processes.
  4. Work in conjunction with the Nurse Manager to maintain vaccine and supply inventory and serve as a main contact for Vaccines for Children/317 programs, except where Lead CFS is present and responsible.
  5. Participate in quality improvement activities and initiatives with a focus on sustainability.
  6. Ensure daily point-of-care testing is completed per manufacturers recommendations.
  7. Oversee the testing of all assigned equipment to ensure equipment is working properly and notify the Clinical Floor Supervisor immediately when equipment is not functional.
  8. Complete MA timesheets, performance evaluations, performance improvement plans and formal corrective actions documentation as needed, except where Lead CFS is present and responsible.
  9. Facilitate the timely completion of MA competencies for the site MAs and address any identified staff deficiencies, except where Lead CFS is present and responsible.
  10. Participate in the recruiting, interviewing, orientation, and training of new MA team members.
  11. Act as the liaison with the Lead Clinical Floor Supervisor/Nurse Supervisor/Manager for issues that arise with the MAs.
  12. In addition to the Clinical Floor Supervisor responsibilities, the Clinical Floor Supervisor will also perform the duties and responsibilities of the Medical Assistant as defined in the Medical Assistant job description.
  13. Maintain Medical Assistant certification and CPR/BLS certification.
  14. Other duties as assigned.
Requirements
Minimum Qualifications
  • High school diploma or GED
  • Successful completion of a medical assistant training program at an accredited institution
  • At least 5 years of experience as a medical assistant, preferably in the area of ambulatory care
  • Current Medical Assistant certification from AAMA, AMT, NAHP, NCCT, NCMA or NHCA
  • Current certification in Basic Life Support for Healthcare Providers
  • At least six months of experience using Microsoft Office software and electronic medical record software
  • Availability to work evenings until 9 p.m. and occasional Saturday mornings
  • Reliable transportation and ability to travel independently between sites
Preferred Qualifications
  • Bi-lingual Spanish preferred
  • Phlebotomy certified preferred
  • Completion of a college-level leadership or management course
  • Associate degree in Allied Health, Science, Medical Assisting, or other healthcare-related field
  • Two years of experience monitoring the performance of at least six employees in an ambulatory outpatient setting
  • Completion of an interpreter training course, certification by the Certification Commission for Healthcare Interpreters or certification by the National Board of Certification for Medical Interpreters strongly preferred
