Johns Hopkins University’s Department of Otolaryngology seeks a Medical Assistant (MA) for outpatient care across Greenspring, White Marsh, and Towson campuses. This 100% FTE position supports patient care and clinic operations, delivering outstanding service to patients and staff.

The MA will take vital signs, prepare exam rooms, assist with procedures, and maintain sterile environments. CPR and MA certification are required; EPIC familiarity is preferred.

Responsibilities

The Department of Otolaryngology is seeking a MedicalAssistant (MA) who will work in an outpatient setting andhave responsibilities related to patient care and the clinicenvironment. Time will be 100% FTE as an MA in the Johns HopkinsOto clinic at our Greenspring, White Marsh, and Towson campuses.The position will work across specialty centers to ensure optimumflow and customer service within the clinic. Provides exemplarycustomer service to patients, physicians and internal customers toaid in meeting patient satisfaction goals of the division.

Specific Duties & Responsibilities
  • Obtains and records patient’s vital signs: temperature, pulse,respirations, blood pressure, weight and height.
  • Assists patients to exam room and prepare patients forexamination and/or diagnostic procedures.
  • Prepares examination or treatment areas before, during andafter patient use.
  • May assist with medical records preparation.
  • Maintains and uses principles of aseptic technique andinfection control when performing clinical duets and tasks.
  • Operates clinical equipment as directed by a physician.
  • May perform phlebotomy functions (only, when necessary, i.e.the full-time phlebotomist is absent, and no back-up isavailable).
  • Follow detailed protocols for cleaning, disinfecting, andsterilizing endoscopic equipment after each patient use, includinginspection and preparation for reprocessing to ensure compliancewith infection control standards.
  • Operate specialized reprocessing machines to thoroughly clean,disinfect, and prepare endoscopes for patient procedures, whilemaintaining accurate documentation of each step in the reprocessingprocess.
  • Safely operate autoclaves and sterilization equipment to clean,sterilize, and package surgical instruments, tools, and medicaldevices, ensuring compliance with safety standards andprocedures.
  • Maintain accurate records of sterilization cycles andinstrument inspections, while monitoring and troubleshootingsterilization equipment to ensure consistent and effectivesterilization processes.
  • Collect and process specimens according to Standard OperatingPolicies and Procedures at a competent level and according to ageand needs of the patient population served.
  • Recognize emergency situations, implements emergency procedureaccording to clinic guidelines and administers first aid, includingCPR.
  • Order, stock and maintain exam rooms and clinic areas withstandard levels of supplies (only when necessary).
  • Assist patients in wheelchairs and stretchers with transfers toand from exam tables, procedure tables and scales utilizing properbody mechanics and safety measures.
  • Receive, sort, and transport used clinical instruments andequipment from procedural areas.
  • Perform decontamination procedures using approveddetergents.
  • Inspect instruments for cleanliness, functionality, and signsof damage; report any issues per protocol.
  • Assemble and package instrument trays and individual itemsaccording to count sheets and clinical use.
  • Operate and monitor sterilization equipment (e.g., steamautoclaves, Medivators) following manufacturer guidelines andfacility protocols.
  • May perform related and delegated tasks which include requestsfor prescription refills, taking and relaying messages and runningerrands.
  • Ensures that soiled linens, needle containers, and potentiallyinfectious waste are appropriately disposed and removed from theclinic and exam area according to the infection controlguidelines.
  • Serves as a back-up to maintain room assignment grid for allphysicians practicing at either of our Greenspring, White Marsh,and Towson clinics.
  • Independently resolves any issues with daily room assignmentsand coordination of clinic flow. Determines when to involve theclinic manager in the resolution of issues that may be beyond thescope of his/her authority.
  • Telemedicine triage as needed.
  • Based on clinic operation needs, staff is required to work as aMedical Assistant at either the Greenspring, Towson, or White Marshsite.
  • Completes all functions of primary full-time Medical Assistantin his/her absence.
  • Other duties as assigned.
Additional Knowledge, Skills and Abilities
  • Understanding the use of an electronic medical records (EMR) orelectronic health records (HER) system needed but notrequired.
  • Understanding of medical terminology, anatomy, andphysiology.
  • Familiarity with common medical procedures and protocols.
  • Ability to provide compassionate and effective patientcare.
  • Skills in conducting patient assessments and recording vitalsigns.
  • Proficiency in using medical equipment (e.g., blood pressuremonitors, EKG machines).
  • Ability to perform basic laboratory tests and prepare specimensfor analysis.
  • Knowledge of electronic health record (EHR) systems and patientmanagement software.
  • Skills in scheduling appointments, managing patient files, andprocessing insurance claims. (Helpful but not required. Willtrain.).
  • Understanding of HIPAA regulations and patient confidentialityrequirements.
  • Familiarity with safety and infection control standards.
  • Ability to communicate clearly and effectively with patients,families, and healthcare professionals.
  • Skills in providing patient education on treatment plans andmedication use.
  • Ability to assess situations quickly and make sounddecisions.
  • Skills in handling patient concerns and addressing issuespromptly.
  • Ability to work collaboratively with a diverse healthcareteam.

Minimum Qualifications
  • High School diploma or graduation equivalent.
  • Certification/Registration as a Medical Assistant (e.g. CMA,AAMA, RMA, AMT, NAHP) required. If not currentlycertified/registered, must become certified/registered within 120days of date of hire.
  • Current CPR certification by the American Heart Association or the American Red Cross required.
  • Must maintain MA and CPR certification/registration during duration of employment in this position.
  • Additional education may substitute for required experience tothe extent permitted by the JHU equivalency formula.
Preferred Qualifications
  • Experience using EPIC preferred.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
