SUMMARY

The Medical Assistant (MA) assists the provider in delivering clinical care to patients. The MA performs a variety of duties, including clinical, administrative, and laboratory functions, and works closely with a diverse patient population across Pediatric, Adolescent, Adult, Geriatric, and Prenatal groups.

PRIMARY DUTIES AND RESPONSIBILITIES

Patient Care / Administrative Duties:

  • Retrieve patient charts, the North Carolina Immunization Registry (NCIR), and other medical records as needed.
  • Escort patients from the waiting area to the patient room and guide them through the entire visit.
  • Take vital signs, document findings, and perform Point‑of‑Care Testing (POCT) such as HGB, glucose, UA, Hgb A1c, RSV, Flu, Covid, Strep, UDS, and urine hCG.
  • Provide age‑appropriate care for Prenatal, Pediatric, Adolescent, Adult, and Geriatric patients.
  • Use standing orders and check‑in procedures to expedite patient visits.
  • Anticipate patient, nursing staff, and provider needs to improve clinical flow and productivity.
  • Document clinical activities promptly, legibly, and accurately.
  • Implement nurse instructions and provider orders in a timely manner.
  • Coordinate referral appointments per provider orders and track referral progress.
  • Review encounter forms and direct patients to interdisciplinary team members.
  • Complete patient forms accurately and thoroughly.
  • Assist with documentation of lab results and data collection.
  • Participate in population management alongside the care team.
  • Review provider appointments the day before visits to anticipate needs.
  • Assist with clinical work via telephone under provider and nurse supervision.
  • Complete PHQ‑9, GDS, vision, hearing screenings, and phone notes per MNHC guideline.
  • Handle additional assigned clinical and administrative duties within scope of practice.

Quality Control / Safety:

  • Monitor the environment for safety, including EKG machines, blood pressure devices, lamps, and scales.
  • Report equipment malfunctions, safety hazards, and incidents promptly to the appropriate personnel.
  • Consistently follow all safety policies and procedures.
  • Use PPE appropriately.
  • Clean and prepare instruments; set up supplies and equipment in patient rooms.
  • Label, package, and dispose of specimens per lab protocol.
  • Use two patient identifiers before all procedures and before patient check‑in.
  • Disinfect examination rooms according to OSHA guidelines.
  • Accurately document POCT and quality control results.
  • Restock exam rooms and check expiration dates on supplies.

Procedure Execution:

  • Ensure sterilization of instruments and availability of equipment.
  • Prepare and set up supplies and equipment in examination or treatment rooms.
  • Perform and assist in sterile procedures, treatments, and tests using skilled technique and safety measures.
  • Administer injections and phlebotomy safely according to MNHC policy.

Patient Education:

  • Provide appropriate education materials (VIS, Fever Dosage Sheets, CVS, etc.).
  • Explain procedures, treatments, and medication usage to patients.
  • Document teachings and patient/family responses in the medical record.
  • Perform additional duties as assigned.

Customer Service (Internal and External):

  • Respect patients’ rights, privacy, and confidentiality.
  • Respond promptly to customer needs.
  • Treat all patients in accordance with the Patient’s Bill of Rights.
  • Consider the impact of actions on patients, visitors, and coworkers.
  • Assist patients, visitors, and providers in a helpful, positive manner.
  • Apply effective communication skills across diverse ages, cultures, and educational levels.
