Job summary

Qualifications

Responsibilities

  • Receive, triage, and process deliveries across multiple carriers daily to align with timelines.
  • Execute SOP-governed intake, collect COAs, release materials, and track end-to-end.
  • Prepare outbound shipments with proper packaging and carrier handoff.
  • Maintain records of materials received, quarantined, released, and shipped using tracking tools.
  • Monitor purchasing dashboards and escalate delays to stakeholders.
  • Provide light office management, mail handling, and vendor scheduling as needed.
  • Support procurement activities, placing orders and reconciling records.
  • Ensure adherence to SOPs, safety, and quality management requirements.
  • Identify opportunities to improve materials workflows and processes.
  • Other duties as assigned.

Job Description
  • Receive, triage, and process incoming deliveries daily across multiple carriers (UPS, FedEx, Amazon, and others), ensuring timely intake aligned with project timelines.
  • Execute QMS-governed materials intake procedures including quarantine, collection of Certificates of Analysis (COAs) from vendors, release of materials for use, and end-to-end tracking.
  • Prepare and coordinate outbound shipments, ensuring proper packaging, documentation, and handoff to carriers within scheduled pickup windows.
  • Maintain accurate records of all materials received, quarantined, released, and shipped using established tracking tools (e.g., Smartsheet, SharePoint).
  • Monitor purchasing dashboards to prioritize receipt and processing of high-priority materials; proactively communicate delays or issues to relevant stakeholders.
  • Provide light office management support including mail handling, office supply coordination, and vendor scheduling as needed.
  • Support purchasing and procurement activities as bandwidth permits, including placing orders, tracking delivery timelines, and reconciling purchase records.
  • Ensure strict adherence to SOPs, safety practices, and quality management system requirements for all materials handling activities.
  • Identify opportunities to improve materials management workflows and processes.
  • Other responsibilities as assigned.
Required Knowledge, Skills & Abilities
  • Hands-on experience in materials management, warehouse operations, shipping/receiving, or production/manufacturing support in a professional environment.
  • Proficiency with software tools and tabular workflows (e.g., Smartsheet, SharePoint, Excel, or similar platforms).
  • Strong attention to detail with a track record of accurate documentation and record-keeping.
  • Ability to lift up to 50 lbs and perform physical material handling tasks safely.
  • Self-starter with a can-do attitude; able to work independently with minimal supervision after initial training.
  • Proactive communicator who keeps stakeholders informed of priorities, timelines, and potential issues.
  • Organized, reliable, and comfortable managing competing priorities in a fast-paced environment.
  • Good judgment and discretion, including when handling confidential information.
  • No minimum education requirement; relevant experience is valued over formal credentials.
Nice-to-have
  • Comfort working within a quality management system (QMS) and familiarity with regulated or GMP-adjacent environments. We are happy to train on this aspect of the role.
  • Experience in a biotech wet lab.
Schedule & Logistics
  • Full-time, non-exempt, 40 hours per week.
Compensation
  • $25-$28 per hour, or ~$52,000 - $58,240 when annualized
  • Comprehensive benefits including 100% premiums covered for health insurance, vision and dental insurance.
